Job summary

GFL Environmental is seeking a detail‑oriented Fleet Administrator to support shop operations and fleet maintenance across Western Canada. You will serve as the regional administrative anchor, managing asset transfers, maintaining inventory accuracy and driving warranty cost recovery within our M5 Manager system.

This role reports to the Area Fleet Director and requires strong data entry, PO processing, and collaboration with foremen, mechanics, and operations across BC, AB, SK and MB.

Qualifications

• 2–5 years in fleet or warranty admin or inventory control.
• Hands-on with heavy-duty fleet management software.
• Strong data entry accuracy and analytical skills.
• Ability to collaborate remotely across multiple provinces.

GFL Environmental is seeking a detail-oriented Fleet Administrator to support our shop operations and fleet maintenance management across British Columbia, Alberta, Saskatchewan, and Manitoba. Reporting directly to the Area Fleet Director, you will serve as a key administrative anchor for our regional fleet, managing inventory controls, driving warranty cost recovery, handling asset logistics, and maintaining system integrity across our fleet management software.

Key Responsibilities

• Fleet Administration & Reporting:
  • Support Area Fleet Director and M5 Manager with administrative tasks such as required asset transfers, data entry, new unit asset surveys.
  • Perform administrative functions such as asset transfers, cost recording and reporting functions as directed.
  • Process, track, and document cross-branch and cross-provincial equipment transfers to maintain accurate regional asset registers.
  • Act as a central administrative resource for shop foremen, mechanics, and operational leaders across BC, AB, SK, and MB.
• Inventory & PO Management:
  • Oversee parts inventory controls.
  • Provide weekly review of current valuation versus desired min/max.
  • Work with systems (M5 Manager) to review weekly reserve parts audits.
  • Assess and track open PO volume and audit shop purchasing against regional budgets.
  • Provide support to M5 Manager as needed to ensure compliance with audit procedures for all inventory locations in Western Canada.
• Warranty Cost Recovery:
  • Support the Area Fleet Director and Warranty Manager to help identify, compile, and record warranty claims within the fleet system to maximize manufacturer cost recovery across all Western Canada assets.
  • Process warranty claims with vendors for cash reimbursement.
  • Assist branch locations with warranty claims as required.
  • Review weekly warranty progress and provide recommendations for continuous improvement.

Qualifications

• 2–5 years of experience in fleet administration, warranty administration, heavy equipment shop operations, or industrial inventory control.
• Hands‑on proficiency with heavy‑duty fleet management software.
• Strong working knowledge of purchase order processing, parts inventory management, and vendor warranty claim procedures.
• High attention to detail with strong data entry accuracy and analytical skills.
• Proven ability to collaborate remotely across multiple provinces and operational sites.
