Qualifications

  • Diploma in Finance, Accounting, or related field; a degree is an asset.
  • 3–5 years of progressive accounting/finance experience with full transaction cycle.
  • Experience with reconciliations, payment processing, expense tracking, and reporting.
  • Not-for-profit experience and CRA charitable compliance knowledge is a bonus.
  • Proficiency in Microsoft 365 and QuickBooks or similar software; workflow tools preferred.

Responsibilities

  • Manage full accounts payable and receivable cycle, including invoicing, coding, approvals, and payments.
  • Prepare bank, credit card, and balance sheet reconciliations; month-end/year-end papers.
  • Design and maintain expense tracking tools and financial schedules; monitor card activity.
  • Prepare budget-to-actual and funder reports; identify trends and risks.
  • Maintain audit-ready financial records and CRA documentation; support audits.
  • Act as system administrator for QuickBooks, Dext, ApprovalMax, Plooto, and MS 365; train staff.

Friends of Ruby supports 2SLGBTQIA+ youth aged 16–29 through mental health services, social programs, and housing. We operate a Youth Drop-In Centre offering barrier‑free counselling, case management, and community programming, alongside a Transitional Home providing emergency and long‑term housing with life‑skills support. Our work is rooted in intersectional, anti‑oppressive, and decolonized approaches, and we are committed to treating everyone with dignity, respect, and inclusion.

About the Role

As the Finance Officer, you will be responsible for:

  • Manage the full accounts payable and receivable cycle, including invoice review, coding, approvals, payment processing, discrepancy resolution, and vendor and funder inquiries to ensure accurate and timely financial transactions.
  • Prepare and review monthly bank, credit card, and balance sheet reconciliations, month‑end and year‑end working papers, accruals, and supporting schedules to support accurate and timely financial close processes.
  • Design and maintain expense tracking tools and financial schedules, monitor corporate credit card activity for policy compliance, and prepare variance analyses and summaries to support informed decision‑making.
  • Prepare reconciled financial data, schedules, and supporting analysis for budget‑to‑actual reporting, funder reporting, and other organizational financial reports, identifying trends, risks, and anomalies for follow‑up.
  • Maintain the integrity of financial records and documentation, coordinate audit, funder, and CRA compliance documentation requests, and ensure audit‑ready financial files and processes.
  • Act as a key resource for financial systems and processes, supporting QuickBooks, Dext, ApprovalMax, Plooto, and Microsoft 365 administration, training staff, and implementing workflow improvements that increase efficiency and accountability.

Integrity + Accountability: Safeguards financial information and organizational resources by maintaining confidentiality, ensuring compliance with policies and regulations, managing audit‑ready documentation, and taking ownership of outcomes.

Required Credentials
  • Diploma in Finance, Accounting, Business, or a related field (or equivalent work experience); a degree is an asset.
  • 3 to 5 years of progressive experience in accounting, finance, or a related financial operations role, including experience managing the full transaction cycle and month‑end processes.
  • Experience with financial reconciliations, payment processing, expense tracking, and financial reporting.
  • Experience working in a not‑for‑profit environment and knowledge of not‑for‑profit accounting principles and CRA charitable compliance requirements is an asset.
  • Proficiency in Microsoft 365, QuickBooks (or similar accounting software), and experience with financial workflow systems such as Dext, ApprovalMax, and Plooto is preferred.
