Finance Administrator

Location: 9094 Cavanagh Road (Ashton, Ontario)

The Finance Administrator is responsible for processing invoices, maintaining accurate financial records, managing vendor payments, and performing reconciliations. This role supports budgeting, monitors recurring transactions, and assists with general accounting tasks as needed, ensuring smooth day-to-day financial operations for Cavanagh Communities.

Duties and Responsibilities:

  • Accurately record invoices to allocate expenses to jobs, accounts, and profit centers
  • Investigate or clarify unusual or questionable invoice items or prices
  • Assist in the payment of vendors by monitoring discount opportunities, scheduling & preparing payments, resolving purchase order discrepancies, and ensuring proper documentation is maintained
  • Correspond with vendors and other stakeholders to resolve discrepancies, answer queries, and request invoices as needed
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Maintain accounting records by scanning and electronically filing invoices & related documentation
  • Maintain and enter budgets into the accounting system
  • Monitor and enter recurring entries into the accounting system
  • Perform bank reconciliations
  • Perform other duties as assigned by the Financial Controller or management, adapting to evolving organizational needs and priorities

Requirements:

  • A diploma in accounting or a related field, or equivalent academic and practical experience
  • Exceptional attention to detail, organization, and accuracy
  • Proven ability to work independently, and within a team approach
  • Strong communication skills, both written and verbal
  • Commitment to maintaining confidentiality
