Job description

Faculty of Science Field Studies and Internship Office Position Summary: The Science Field Studies and Internship Officer manages the East Africa, Barbados and Panama Field Study Semesters as part of program oversight. The Officer oversees undergraduate funding, Enriched Educational Opportunities (EEO), Declaration relative à la participation d’un étudiant à une activité étudiante, and the B.Sc. Global Designation. The Field Studies and Internship Officer sits actively on the McGill International Education Network (MIEN), is often asked to contribute to various meetings (Student Affairs Office, Career Planning Services, Internship Network). The position works very closely with the Senior Advisor Operations and Priorities, Associate Deans and Field Studies Program Directors in the Faculty of Science. Primary Responsibilities:
  • Oversee the administration and logistical operations of the various (East Africa, Panama, Arctic, Barbados) field study semester programs and student internships.
  • Oversee the financial aspects of the budgets for all field studies semesters, organize payments (international), resolve financial issues.
  • Present workshops to promote field study semester opportunities.
  • Provide risk management and logistical information and inform students going into the field of the risks so they are better able to make informed decisions.
  • Consulted on escalations regarding internships and individual students and employers’ enquiries.
  • Set promotional and marketing strategies (in collaboration with the Communication team) and approve materials developed by the Coordinator (in all mediums), optimize recruitment opportunities to maximize student involvement in the internship program and field studies semesters.
  • Oversee the updating and maintenance of the Programs’ websites.
  • Manage the application processes for field semester programs, and internships.
  • Develop and maintain relationships with other institutions, universities, government and student representatives, employers.
  • Act as the liaison between the academic unit, the off-campus organization, and the University’s legal team to research and assist with the drafting of leases and contracts with service providers, secondment agreements with other academic and research institutions.
  • Implement best practices and provides the best possible level of support in the areas of Risk Management (in collaboration with Program Directors and Senior Advisor) and Insurance and in Budget management by researching best practices, ensuring paper trails and developing procedures and documents.
  • Manage support staff and evaluates progress of assignments and results.
  • Responsible for contractual arrangements with those teaching in the field, whether regular faculty members or sessional lecturers which are handled departmentally.
  • Arrange payments for individual contracts of service providers (such as on-site medical or internship coordination), and to individuals and institutions in the case of secondment arrangements.
  • Contribute to program evolution initiatives (carbon-responsible travel planning, etc.).
  • Oversee recruitment- and outreach-facing events organized by the Coordinator and student ambassadors.
Other Qualifying Skills and/or Abilities
  • Bilingual; excellent verbal and written communication skills, in both English and French.
  • Spanish or Swahili could be an asset.
  • Proven experience with management of complex, multi-faceted portfolios.
  • Experience working with budgets and other financial transactions.
  • Familiarity with global issues is an asset.
  • Excellent planning and decisions making skills.
  • Strong communication, writing and presentation skills and ability to interact positively and effectively on a professional level with internal and external parties.
  • Demonstrated experience supervising staff.
  • Demonstrated judgment in navigating institutional environments with the ability to build constructive and effective relationships.
  • Must be able to demonstrate a high level of initiative, independence, and professionalism at all times.
  • Proven flexibility in order to adapt to tight deadlines, different duties, frequent changes and demands.
  • Ability to assess potential problems and provide solutions to mitigate issues.
  • Ability to work well under pressure in an environment with shifting priorities.
  • Proven ability to work with computer applications, or quickly learn Microsoft Office applications such as Word, Excel, PowerPoint, as well as SharePoint applications (Lists, Forms, Power Automate, etc.) and Power BI.
  • Experience with Banner could be an asset.
