Odlum Brown Limited in Vancouver is seeking a Fee Administrator to join our Client Services team. You will set up fee-based accounts and client banking details while ensuring accuracy and regulatory compliance.

You will collaborate with Investment Advisors, Assistants and other Client Services staff to deliver high-quality service. You will review and input fees, reconcile charges, maintain knowledge of fee models, and help streamline processes for operational efficiencies in a fast-paced

Qualifications

  • Proven experience serving clients in a professional services environment.
  • Investment industry experience in New Accounts, Registered Accounts or Client Services is an asset.
  • Post-secondary degree or diploma in Finance, Accounting or Business is an asset.
  • Exceptional attention to detail and accuracy in work.
  • Strong organizational skills with ability to prioritize time-sensitive tasks.
  • Self-starter with independence and willingness to assist others.
  • Strong interpersonal and written/verbal communication skills.
  • Proficiency with Microsoft 365 and related tools.

Job description

THE OPPORTUNITY
We have an opportunity for a Fee Administrator to join our award-winning firm in the Vancouver office.

WHAT YOU’LL DO
You will work in a collaborative environment setting up fee-based accounts and client banking details. In this role, you will provide high-quality service to internal clients and advisory groups by ensuring fee and banking details are complete, accurate, and maintained in accordance with regulatory requirements. This role reports to a people leader within the Client Services team and works closely with our Investment Advisors, Assistants and other Client Services departments.

RESPONSIBILITIES
  • Review and input fees and process adjustments to fee charges
  • Reconcile fees in accordance with fee model and structure
  • Maintain up-to-date knowledge of fee structure model to administer account fees
  • Review and input client banking information
  • Ensure standard operating procedures are followed, and service level agreements are met in a fast-paced, service-driven environment
  • Deliver client service excellence to Investment Advisors and Assistants by responding to inquiries accurately and in a timely manner
  • Identify opportunities to streamline processes for operational efficiencies and collaborate with team members to document new and existing processes
  • Engage in continuous learning and development to increase knowledge as a fee expert
  • Participate in cross-functional department reporting and projects
  • Participate in training new and existing colleagues and assistants on fee-based accounts
COMPETENCIES

  • Coordination – Prioritize, organize, and manage information, people, assets, resources, messages, tasks and/or activities to achieve a goal within timelines
  • Customer Service – Determine needs, capture relevant information, apply internal policy or regulation, and elevate and prioritize the requests of customers to answer inquiries, fulfill transactions, or resolve issues
  • Operational Policy and Procedures – Apply knowledge of the firm’s procedures and processes to execute work to a high standard of consistency, efficiency, compliance, and safety
  • Project Management – Plan, coordinate, execute, and oversee projects, balancing time, resources, and scope to achieve objectives, support stakeholders, and meet deadlines
  • Regulatory Knowledge – Understand and apply relevant laws, regulations, and standards to meet legal and ethical requirements and reduce risk for clients and the firm
  • Systems and Application Proficiency – Use, maintain, manage, or improve specific systems or applications in our role to work effectively and efficiently
KNOWLEDGE AND EXPERIENCE
  • Proven experience in serving clients in a professional services environment
  • Investment industry experience in New Accounts, Registered Accounts, Client Services, Compliance or similar function is an asset
  • Post-secondary degree or diploma in Finance, Accounting or Business is an asset
  • Exceptional attention to detail and skilled at working efficiently and accurately
  • Strong organizational skills with ability to prioritize important and time-sensitive tasks
  • Self-starter with the capacity to work independently, along with flexibility and willingness to assist others
  • Strong interpersonal and relationship-building skills with the ability to work within a team environment
  • Excellent verbal and written communication skills
  • Ability to exercise good judgement and decision-making within a policy and regulatory framework
  • Intermediate proficiency in Microsoft 365
  • Experience with Broadridge’s Dataphile, Pure Fees platform or similar bookkeeping system is an asset
