TMG Search Canada has been retained by a national commercial property management company to assist in their search for a Facilities Manager to oversee a blended portfolio of facilities, property maintenance, and external partners and service providers for the organization.
Reporting to the Director of Facilities, the Facilities Manager will support the development and management of the overall maintenance and will have budget oversight of all assigned facilities. This individual brings a high level of professionalism, integrity, and curiosity with a customer-first mindset to a growing and progressive team-based environment.
Responsibilities
- Oversee the assigned portfolio of facilities across the Greater Toronto Area (GTA).
- Support in the development and management of the overall maintenance and capital budget(s) as related to assigned facilities.
- Work with the Director of Facilities to develop and maintain a three-year rolling budget and capital plan.
- Ensure all buildings maintain full occupancy at market lease rates in collaboration with the Director of Facilities.
- Plan and supervise activities of facilities maintenance employees, including performance management activities and tenant improvement works.
- Organize and lead facilities maintenance staff (directly and/or indirectly) to ensure efficient and timely use of personnel and resources for repairs and maintenance of buildings, grounds, systems, and equipment.
- Partner with external project managers and oversee project execution related to assigned facilities.
- Collaborate with other facilities managers in different jurisdictions as needed.
- Handle paperwork such as purchase orders, invoices, tenancy agreements, leases, and parking agreements.
- Tender, negotiate, and administer contracts.
- Manage all stages of project management for assigned properties, ensuring projects are completed on time, within budget, and to regulatory standards.
- Manage contractors and service providers responsible for facilities and equipment projects and repairs.
- Work with the finance team on financial reporting, year-end analysis, and related tasks.
- Ensure compliance with all safety, environmental, and regulatory standards, maintaining relationships with oversight bodies.
- Oversee all HAZMAT programs, including wastewater and disposal programs.
- Ensure the security of all facilities and contents, including development sites.
- Provide “On Call” support during emergencies.
Qualifications
- 8-10+ years’ experience in facilities, property, and project management, including maintenance oversight, lease administration, and tenant relations.
- Expertise in preventative maintenance, asset management, and building operations.
- Ability to develop and implement operational strategies to enhance efficiency, reduce costs, and improve tenant satisfaction.
- Experience with EPCM projects related to greenfield and brownfield site development is a significant asset.
- Proven experience managing end-to-end projects, including upgrades, tenant improvements, and capital projects.
- Experience managing external project managers, trades, and general contractors from an owner’s perspective.
- Proficiency with office software (Word, Excel, Outlook) and property management software; understanding of Yardi is an asset.
- Experience managing various building types and tenant situations.
- Strong work ethic, customer service orientation, effective communication skills, and a positive team attitude.
- Excellent verbal and written communication skills, capable of drafting comprehensive reports.
- Ability to manage confidential information professionally.
- PMP or CPM designation is an asset.
- Valid driver’s license and reliable vehicle.
