Reporting to the Premises Manager, the Facilities Coordinator will be responsible for the daily upkeep and maintenance of facility premises, while contributing to a positive employee experience.

Working with the Receptionist, Executive Assistant’s (EA’s) and the Premises Manager, the Facilities Coordinator will provide an exceptional, high-touch, experience, ensuring the workplace is prepared for client meetings and events.

Key accountabilities

Facilities

  • Assist with monitoring and addressing issues with premise facilities and report any repairs needed to applicable vendors and/or the Premises Manager
  • Check all conference rooms at the start of each day to ensure technology is working and there are no furniture/millwork deficiencies. Any issues should be escalated to the Premises Manager
  • Processing vendor invoices in a timely manner
  • On-site point person for catering needs for internal meetings, including maintenance of the employee snack program
  • Maintain inventory and maintenance of café, client kitchen/servery
  • Maintain inventory and maintenance of printers/copy rooms
  • Assist EA’s with catering for external client meetings as needed
  • Work with the Premises Manager to lead employee experience initiatives such as team lunches, social committee events and on-site activities (e.g. wellness, yoga, etc.)
  • Other client-facing responsibilities as required

Administrative

  • Assisting the tax team with scanning and filing tax mail/documents
  • Management of calendar, travel, and expenses for the Private Credit, Investor Relations team
  • Cover reception desk for daily mail pickup, lunch hour, morning and afternoon for receptionist to complete opening and closing of kitchens

Expected to be on premises Monday-Friday, consistent with reception schedule, including flexibility for early/late client meetings.

This is a 10-month contract, inclusive of health and dental benefits.

Qualifications

  • 2 years of facility coordination experience in a Corporate environment
  • A post-secondary degree or diploma in a facilities/administrative related discipline is an asset
  • Excellent communication and interpersonal skills with the ability to interact with staff, contacts at all levels of the organization and external vendors
  • Excellent time management and organizational skills with the ability to multi-task and prioritize work in a timely fashion
  • Ability to work independently and in a team environment
  • Self-starter, forward thinking and flexible in adjusting/adapting to changing work priorities
  • Professional with an excellent work ethic and a positive get-it-done attitude
  • Ability to take initiative – research and/or investigate issues requiring resolution in order to execute on assigned tasks
  • Proficient with Microsoft Office Suite
