Job description

Do you have effective time management and the ability to prioritize changing needs? Do you have high attention to detail and strong troubleshooting skills? If you answered yes and are looking for an entry-level administrative position, we may have the position you've been looking for!

As the Facilities Administrator, you will support the Maintenance team by reviewing work orders completed by on-site maintenance technicians. You will use tracking software to review closed work orders for completeness and accuracy, communicate with maintenance technicians to clarify notes, post charges for tenant-caused damages, and initiate Planned Preventative Maintenance (PPM) work. This role requires strong prioritization and workload management skills, as well as the ability to support and coach colleagues when needed.

Your contributions to the team include:

  • Audit closed work orders for completeness and accuracy
  • Prioritize move-out work orders and damage charges at month-end
  • Communicate with Maintenance Technicians to clarify notes, materials, and labor
  • Provide feedback on deficiencies within work orders
  • Document interactions in the appropriate software
  • Post Planned Preventative Maintenance (PPM) work orders regularly according to schedules
  • Support special projects as requested, such as tender package coordination
  • Assist with other administrative duties as needed
  • Identify process improvements that lead to cost savings opportunities

What you need to be successful:

  • Experience in an administrative role
  • Post-secondary education in business administration or a related field is an asset
  • Working knowledge of facilities equipment and maintenance requirements is an asset
  • Ability to work well under pressure in a changing environment
  • Strong attention to detail and multi-tasking skills
  • Professional verbal and written communication skills
  • Effective teamwork and interpersonal skills
  • Advanced proficiency with MS Office Suite and data entry
