The Role
Key Responsibilities:
Transcript Production & Review
• Receive transcript files from offshore vendors and perform line-by-line proofreading for accuracy in spelling, formatting, case style, and honorifics (e.g., Mr./Ms.).
• Format transcripts in Microsoft Word and RB9 (OMTI), ensuring compliance with legal document standards.
• Correct grammar, sentence structure, and inaudibles with contextual judgment, especially in Spanglish, Creole, or heavily accented English.
• Attach client exhibits and supplemental materials to final transcripts in a clean, organized manner.
Project & Workflow Management
• Track all active transcript jobs, monitoring turnaround timelines and ensuring on-time delivery to clients.
• Coordinate with court reporters and transcription vendors to receive missing files, worksheets, and exhibits.
• Use Dropbox, Microsoft Teams, and shared calendars to manage job assignments and prioritize urgent requests.
• Maintain accurate internal status logs, identifying bottlenecks and escalating issues when needed.
Client & Vendor Communication
• Provide regular updates to clients on transcript status via email and phone.
• Serve as liaison between U.S.-based attorneys, court reporters, and offshore vendors using WhatsApp, email, and phone systems.
• Ensure all communication is clear, professional, and responsive—especially under time-sensitive conditions.
• Handle high-pressure requests (e.g., rush transcript needed in 2 hours) with calm, efficient follow-through.
Quality Assurance & Legal Standards
• Uphold strict quality control measures, reviewing every transcript as a reflection of the YM Legal Services brand.
• Catch small but critical details—e.g., incorrect salutations, wrong party names, formatting inconsistencies—before delivery.
• Understand litigation workflows and court filing procedures to contextualize transcript use and ensure legal compliance.
Technology & Systems Use
• Operate within RB9/OMTI for transcript finalization and metadata entry.
• Navigate Dropbox, Microsoft Teams, Adobe Pro, and internal calendars to manage work efficiently.
• Set up and use VoIP communication systems (e.g., Google Voice) to receive/transmit U.S.-based client calls.
• Work comfortably in CRM and project management platforms (training provided if needed).
Ideal Profile
Key Qualifications:
•Experience in the legal field, ideally in litigation or deposition support.
• Demonstratedattention to detail– must be naturally thorough and highly organized.
• StrongEnglish proficiency– both verbal and written.
• Ability to work full-time, aligned with U.S.Eastern Standard Time (9:00 AM – 5:00 PM EST).
• Comfortable using software such asMicrosoft Word, Adobe Acrobat, Teams, Dropbox, and RB9/OMTI(training provided).
• Ability to handlehigh-pressure situationsand client urgency with calm and effective communication.
• Must be tech-savvy and able to quickly learn new systems and tools.
• Must have reliable internet and access to phone solutions such asGoogle Voice or CRM-integrated calling.
