ABOUT THE JOB

We are seeking an experienced Executive Assistant to provide high-level support to our CEO and our clients. This dynamic position requires a proactive individual with impeccable time management and organizational skills able to handle a wide range of administrative and executive support tasks.

Key Responsibilities

  • Executive Support : Manage the CEO's calendar, including scheduling meetings and appointments. Coordinate travel arrangements and prepare itineraries.
  • Communication Management : Screen and respond to calls, emails, and other correspondence on behalf of the CEO. Draft professional communications and follow up on key action items.
  • Client Relations : Serve as a first point of contact for clients and internal stakeholders. Provide timely, professional support to ensure a high standard of service. Proactively handle routine client inquiries and escalate more complex issues when appropriate.
  • Reporting & Document Preparation : Prepare reports, presentations, meeting agendas, and other executive-level documentation. Assist with coordinating, creating, editing, proofreading, formatting, and distributing materials.
  • Process Improvement : Identify opportunities to improve administrative workflows and contribute to increased efficiency across executive operations.

What You Bring to the Role

Ideal candidates will have :

  • A bachelor’s degree in a related field or equivalent combination of education, training and experience
  • Completion of the Canadian Securities Course (CSC) is an asset
  • 2+ years of experience in the financial services industry or professional service environment
  • Proven experience as an Executive Assistant or in a similar high-level support role
  • Strong clerical and organizational skills, with exceptional attention to detail
  • Ability to manage confidential information with discretion
  • Excellent written and verbal communication skills
  • A self-starter mindset with impeccable time management, resourcefulness, and follow-through
  • Comfortable using software such as APX, uniFide, CRM systems (HubSpot), and Microsoft Office Suite
  • A positive, energetic, and adaptable personality
  • Strong multitasking abilities and the capacity to thrive in a dynamic environment
  • Exceptional interpersonal skills and a commitment to service excellence

Bonus : CIRO licensing (e.g., Investment Representative, Registered Representative) is an asset, but not required.
