Position Summary

Roshel is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and project coordination support to senior leadership.

The Executive Assistant will serve as a key point of contact among executives, internal departments, external stakeholders, clients, and vendors. The role is responsible for supporting the efficient management of executive schedules, communications, meetings, travel, and strategic initiatives.

The successful candidate will demonstrate exceptional organizational skills, strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. In addition to providing executive support, the Executive Assistant will assist with project planning, coordination, execution, monitoring, and reporting in support of the organization’s objectives.

Key Responsibilities
  • Manage and coordinate executive calendars, meetings, appointments, domestic and international travel arrangements, and related logistics.
  • Prepare daily schedules, executive briefings, meeting materials, presentations, reports, and correspondence.
  • Manage and prioritize incoming and outgoing communications, including emails, telephone calls, correspondence, and business requests.
  • Coordinate internal and external meetings and ensure appropriate preparation, prioritization, follow-up, and documentation.
  • Liaise with clients, vendors, business partners, government representatives, and internal stakeholders on behalf of senior leadership.
  • Prepare meeting agendas, minutes, action-item lists, reports, presentations, and other business documents.
  • Maintain confidential records and handle highly sensitive information with a high degree of discretion and professionalism.
  • Assist with the planning, coordination, and monitoring of projects from initiation through completion.
  • Coordinate project meetings and facilitate effective communication among stakeholders.
  • Support the development and maintenance of project plans, timelines, objectives, milestones, and deliverables.
  • Monitor project progress and identify potential risks, delays, obstacles, and resource requirements.
  • Track project budgets, expenses, action items, and resource allocation.
  • Maintain accurate project documentation, status reports, records, and updates.
  • Collaborate with cross-functional teams to support the timely and successful completion of projects and strategic initiatives.
  • Support continuous improvement and process optimization initiatives across the organization.
  • Travel domestically and internationally as required to support executive priorities, meetings, projects, business operations, and corporate initiatives.
  • Provide support outside of regular business hours when required to meet operational, project, executive, or business needs.
  • Strong verbal and written communication skills; proficiency in additional languages is an asset.
  • Perform other related administrative, executive support, and project coordination duties as required.
Qualifications
  • Bachelor’s degree in business administration, project management, communications, or a related field.
  • Minimum of three years of experience in an executive assistant, project coordinator, administrative, or similar role.
  • Advanced proficiency in Microsoft Office, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Demonstrated ability to manage multiple priorities and meet deadlines.
  • Strong problem-solving, critical-thinking, and decision-making abilities.
  • Excellent interpersonal and relationship-management skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work effectively in a fast-paced environment with a high degree of professionalism, initiative, and adaptability.
  • Previous experience supporting senior executives is a strong asset.
  • Project coordination or project management experience is an asset.
