Hours: In-person, 5 days per week

The Role

We’re looking for a highly organized, execution-focused coordinator who ensures the day-to-day environment at Roam runs smoothly and efficiently. You will play a key role in supporting teams across the company, helping them stay focused by owning and managing administrative, operational, and coordination tasks.

You are proactive, reliable, and detail-oriented — someone who takes ownership of tasks and gets things done without constant oversight.

You will work in person 5 days a week (9–5) at Roam’s headquarters in Etobicoke Ontario.

What You’ll Do

As the Office & Operations Coordinator, you will be responsible for:

  • Managing all office operations including supplies, organization, and overall workplace functionality
  • Coordinating with external vendors including cleaning, security, building management, and other service providers
  • Acting as the primary point of contact with the landlord and ensuring all office-related needs are handled promptly
  • Supporting onboarding of new team members, including ordering equipment, preparing workspaces, and organizing their first days
  • Providing operational support to the broader team, including managing supplies and coordinating with external partners (e.g. parking, facilities)
  • Assisting the leadership team with administrative and executive support tasks such as scheduling, calendar coordination, travel arrangements, and team meals
  • Identifying inefficiencies and improving processes to make internal operations more streamlined and effective
  • Taking ownership of ad hoc tasks across teams to ensure nothing falls through the cracks
Who You Are

Ideal candidates have:

  • Some prior experience in an office administration, office manager, or executive assistant role
  • Strong organizational skills and attention to detail
  • A proactive, “get it done” mindset with the ability to operate independently
  • Comfort managing multiple tasks and priorities at once
  • Strong problem-solving ability and a willingness to take initiative
  • Clear and professional communication skills
  • Basic proficiency with common tools (Google Workspace, Slack, etc.)

  • An office administrator or office coordinator
  • An executive assistant or administrative assistant
  • A workplace or facilities coordinator
  • A highly organized operations or support team member in a startup or fast-paced environment
