Job Description

Department: Administration

Position: Executive Assistant

Weekdays 9:00am-5:00pm (75 hours bi-weekly). Weekends and evening work may be required.

Status: Permanent Full Time

Date Required: ASAP

Reporting to the Executive Director, the Executive Assistant provides confidential administrative support to the Executive Director, Assistant Executive Director, Director, Resident Services, and the Villa Colombo Board of Governors to meet organizational goals.

Responsibilities include (but are not limited to):

  • Support workflow of the Executive/Senior Team, including managing agendas, meeting minutes, correspondence, reports, and research.
  • Support the Chair of the Board, Committees, and their Chairs.
  • Manage daily office operations, mail, courier, equipment, and inquiries.
  • Lead and mentor administrative staff for consistency.
  • Support project management for Executive/Senior Team initiatives.
  • Maintain databases and contact information.
  • Assist with policies, forms, and statistical data collection.
  • Support accreditation activities.
  • Schedule meetings, teleconferences, and manage records.
  • Greet visitors and manage correspondence for the Family Council.
  • Adhere to organizational policies and regulations.
  • Assist with HR tasks such as references, resume reviews, and interviews.
  • Perform other duties as assigned.

Supervision of Reception

  • Hire, schedule, direct, evaluate, and discipline reception staff.
  • Create schedules, ensure coverage, and manage training and performance reviews.
  • Handle inquiries and staff management tasks.

Experience & Education

  • Post-secondary education in Business Administration or relevant field.
  • Minimum 5 years supporting executives and senior managers, preferably in non-profit.

Competencies (Behavioral & Technical Skills)

  • Strong MS Office skills; Visio is an asset.
  • Excellent time management, organization, and multi-tasking skills.
  • Effective communication, judgment, discretion, and teamwork.
  • Knowledge of Long-Term Care/Health Care is an asset.
  • Ability to articulate resident safety strategies.
  • Compliance with health and safety regulations, including screening and medical requirements.
  • Conversational Italian is an asset.
