Job Description

Department: Resident Services

Position: Resident Services Administrative Assistant

Hours: Weekdays 9:00 am - 5:00 pm (75 hrs biweekly). Weekends and evenings may be required.

Status: Permanent Full-Time

Start Date: ASAP

Reporting to the Assistant Director, Resident Services, the Resident Services Administrative Assistant supports resident services, staff, data input, file management, meeting minutes, reports, meetings, agendas, and maintains filing systems.

Experience & Education
  • Minimum one year of post-secondary education in office administration or equivalent, with general clerical knowledge.
  • At least three years of office experience, including one year as an Administrative Assistant.
  • Proficiency in MS Office programs; experience with Visio is a plus.
  • Experience in long-term care is an asset.
Competencies (Behavioral & Technical Skills)
  • Strong computer skills, especially in Outlook, Word, Excel, PowerPoint; Visio experience is a plus.
  • Excellent time management, multitasking, and organizational skills with high attention to detail.
  • Excellent communication skills, tact, discretion, and judgment.
  • Ability to work independently, anticipate needs, and work as part of a team.
  • Knowledge of Long-Term Care or Healthcare is an asset.
  • Understanding of and compliance with relevant health and safety legislation and policies.
  • Criminal Record Check with Vulnerable Sector Screening (less than six months old).
  • Proof of TB testing as per Public Health requirements.
  • Compliance with provincial COVID-19 testing directives.
  • Bilingual in English and Italian is an asset.
Responsibilities

  • Develop, maintain, and analyze databases related to staff, residents, and statistics.
  • Manage records and files, monitor supplies, and prepare reports.
  • Participate in committees, take minutes, and handle correspondence.
  • Utilize electronic systems effectively.
  • Provide administrative support to the Nursing Department, including mail processing, supply management, filing, data entry, and minute-taking.
  • Follow resident safety principles, safe work practices, and organizational policies.
  • Other duties as assigned.
