Reporting to the Senior VP, Research and Science, we are seeking a full-time, permanent Executive Assistant (EA) who will provide senior administrative support on a wide range of confidential organizational projects and issues, and proactively enable smooth and effective leadership operations for the Research Institute. The EA will operate as part of the larger team of senior management administrative assistants working closely to ensure co-ordination of support for special projects and to various committees and the Senior Management Group. The EA will leverage their considerable experience to work independently with minimal supervision in a dynamic environment, and take leadership on complex assignments.

This position is located at 1001 Queen Street West and 250 College Street with occasional offsite travel as required.

The successful candidate’s responsibilities will include, but not be limited to:

  • Manage the SVPR&S’s calendar and appointment schedule, and enable effective time management by identifying priorities, time-sensitive issues, and deadlines.
  • Screen and prioritize incoming and outgoing correspondence, e-mails and phone calls.
  • Draft and edit reports, correspondence, academic CV updates, grant applications, and other documents as required.
  • Arrange meetings, conferences, and other events, including room bookings, equipment, and catering when necessary.
  • Prepare agendas, presentations, meeting minutes and other related materials.
  • Maintain an organized filing system for important records.
  • Order and manage office supplies and equipment as needed.
  • Assist in procurement of goods and services and submission of invoices.
  • Coordinate travel arrangements.
  • Plan and coordinate CFMHRI events.
  • Provide payroll support.
  • Assist in the planning and execution of special projects and initiatives.
  • Gather information as needed to support decision making.
  • Monitor project timelines and deadlines and provide regular updates.

Job Requirements

  • Undergraduate degree or other formal post-secondary education is required. Completion of formal executive assistant training would be beneficial
  • 10 years of senior administrative experience, including experience as an executive assistant or a similar role. Experience with working in an academic or healthcare environment is strongly preferred
  • Advanced knowledge of office administrative practices, academic systems, corporate protocol, and public relations.
  • Excellent communication (verbal and written) and interpersonal skills are essential, as the role involves frequent interaction with executives, staff, and external stakeholders. A genuine interest in supporting scientific research is an asset.
  • Advanced expertise in MS Office applications (Outlook, Excel, Word, PowerPoint)
  • Exemplary organizational skills and attention to detail, with the ability to prioritize and manage multiple diverse projects and tasks simultaneously.
  • Tact and discretion; ability to handle sensitive and confidential information in a professional manner.
  • Ability to quickly find, learn and assimilate new information.
  • Ability to capture and articulate risk issues.
  • Teamwork and collaborative skills are important, as the role often involves working closely with other administrative and research staff.
  • Problem-solving with a diverse variety of stakeholders and team members who may have conflicting interests and priorities.

Please Note: This full-time, permanent position is NOT part of a bargaining unit
