Job summary

Jacques Cartier and Champlain Bridges Incorporated (JCCBI) seeks an Executive Assistant to support the ExecutiveManagement team in coordinating meetings, handling confidential files, and digitizing records. You will ensure seamless administration for projects and communications with senior leaders and internal/external stakeholders.

The role requires a college diploma and at least 10 years of senior‑level support experience, with strong MS 365 skills and bilingual French/English proficiency.

Qualifications

  • College diploma in secretarial studies, office automation, or related field.
  • Minimum 10 years of experience supporting senior management.
  • Excellent written and verbal French and English communication.
  • Proficient with Microsoft365 apps and SharePoint understanding.
  • Experience with SAP Business ByDesign or ERP systems.

Responsibilities

  • Coordinate meetings and manage logistics, deadlines, and follow‑ups.
  • Act as a backup for the ExecutiveAssistanttoCEO during absences.
  • Handle confidential information with discretion.
  • Manage documents and records, including digitization and filing.
  • Migrate files to digital formats and maintain classification plans.
  • Secretarial support for weekly Executive Committee meetings.
  • Draft, format, and circulate memoranda, reports, and minutes.
  • Process requisitions, expense reports, and purchase orders.

Your Mandate

We are seeking an ExecutiveAssistant to join the ExecutiveManagement team and contribute to its mission of ensuring user mobility, safety, and the long-term sustainability of infrastructures through systemic management based on a sustainable development approach.

Reporting to the ChiefExecutiveOfficer and working jointly with the ExecutiveAssistanttoCEO and the Corporation’s administrative assistants, you will provide thorough, confidential, and proactive administrative support for the ExecutiveManagement team. You will also provide the CorporateSecretary with administrative support regarding certain tasks surrounding the creation and monitoring of structuring projects, among other things. You will help manage the tasks, priorities, and activities performed by the ExecutiveManagement team through regular interaction with senior management, along with all personnel members.

  • Coordinate meetings and provide follow-up support regarding special tasks and projects by managing meeting notices, logistics, document preparation and follow-ups, along with all necessary measures, in accordance with all deadlines;
  • Serve as a functional replacement for the ExecutiveAssistanttoCEO in the event of their absence;
  • Handle confidential or sensitive files and information with discretion;
  • Help administer the ExecutiveManagement’s documents and records through filing, updating and digitization activities according to the classification plan;
  • Help migrate files to digital formats;
  • Coordinate weekly meetings for the ExecutiveCommittee and act as secretary during those meetings;
  • Collaborate with various internal and external stakeholders when drafting, preparing, and formatting memoranda, documents, reports, meeting minutes, requests, and correspondences;
  • Prepare and conduct follow-up activities regarding requisitions, expense reports and purchase orders.
Experience and education
  • College diploma in secretarial studies, office automation, administration, or any relevant combination of education, training, and experience;
  • Minimum of 10years relevant experience in a similar position supporting senior management;
  • Excellent proficiency with Microsoft365 productivity and collaboration tools, including Word, Excel, PowerPoint, Outlook, and Teams, along with a good understanding of SharePoint;
  • Familiarity with electronic signature platforms, including ConsignO, DocuSign, or AdobeAcrobatSign;
  • Experience with SAPBusinessByDesign or any finance-oriented enterprise resource planning(ERP) system;
  • Excellent written and verbal communication in both French and English.
