Job summary

BC Nurses’ Union is seeking a proactive Executive Assistant to provide high-level administrative support to the Council and committees. The role emphasizes governance, meeting administration, project coordination and event logistics, with an expectation of professionalism and discretion.

The successful candidate will manage board packages, minutes, travel arrangements and information management while collaborating across senior leadership and external contacts.

Qualifications

  • Five years’ progressive experience supporting a Board of Directors or senior executives.
  • Strong ability to build relationships with all levels of the organization.
  • Excellent organizational and time management skills with deadline focus.
  • Professionalism, tact, diplomacy, and discretion for sensitive issues.
  • Ability to manage high volumes of correspondence and index information.
  • Attention to detail and accuracy in documents.
  • Positive, proactive, solutions-focused approach.
  • Strong written and verbal communication skills.
  • Proven minutes taking with follow-up on actions.
  • Advanced MS Office and related office productivity tools experience.
  • Experience with board management tools is an asset.

Responsibilities

  • Plan Council meetings with the President and Manager, Board Relations.
  • Attend meetings to provide primary staff support for in-person and virtual components.
  • May take minutes and manage action items through approval and distribution.
  • Organize records, terms of reference, committee lists and minutes.
  • Assist onboarding Council members and organize board education sessions.
  • Manage calendars, draft documents, and distribute resources for committees.
  • Arrange travel, accommodation, catering, and major union events.
  • Develop administrative systems and improve workflows.
  • Familiarize with BCNU member funds and related processes.
  • Provide backup coverage within the Executive Assistant team.
