As an Executive Assistant you will provide administrative support to three Vice Presidents in the Office of the Global Wealth Transformation & Growth Strategy team. You will be responsible for managing a wide range of administrative tasks, with a focus on efficiency, confidentiality, and professionalism. Is this role right for you? In this role you will:
  • Provide high-level administrative support to senior executives, requiring discretion, confidentiality, sound judgment, and a strong understanding of business operations, processes, and stakeholder relationships.
  • Act as a key liaison between senior leadership and internal and external stakeholders, ensuring timely communication and coordination across multiple business partners and functional teams.
  • Coordinate comprehensive travel arrangements, including flights, accommodations, ground transportation, and itineraries, with flexibility to provide occasional support outside regular business hours when unexpected travel disruptions or urgent changes arise.
  • Proactively manage complex executive calendars, balancing competing priorities while coordinating appointments, meetings, conferences, offsites, and leadership events
  • Assist in planning and organizing employee events and internal town halls, handling logistics, and ensuring smooth execution.
  • Process and track expense reports, ensuring timely reimbursement and compliance with company policies.
  • Maintain strict confidentiality of sensitive information, including client data, company records and information regarding confidential transactions and projects.
  • Work closely with other members of the support team to ensure the overall efficiency of the office.
  • Contribute to a collaborative team environment by participating in coverage plans and providing support across the team as needed to maintain continuity and responsiveness.
  • Coordinate the onboarding of new team members, ensuring a welcoming, organized, and seamless experience, including access, equipment, introductions, orientation activities, and other onboarding requirements, in partnership with relevant stakeholders.

  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to prioritize tasks effectively
  • A professional demeanor and the ability to represent the company to clients and partners
  • Discretion and the ability to handle sensitive information with integrity
  • Knowledge of financial terminology and concepts is a plus but not required
