Job summary

Responsibilities

  • Provide senior-level administrative, calendar, and time management support to senior executives.
  • Manage complex calendars, prioritizing meetings and aligning with executive priorities.
  • Coordinate meetings and events, including logistics, materials, minutes, and offsites.
  • Oversee incoming/outgoing communications, reports, and internal correspondence.
  • Prepare information for executive communications, reports, presentations, speeches, and meeting materials.
  • Organize executive travel arrangements and logistics.
  • Process expense reports and track expenditures.
  • Act as a liaison for internal/external stakeholders and vendors.
  • Contribute to administrative process improvements and policy alignment.
  • Support risk, compliance, operational, and business continuity requirements.

The Executive Assistant provides high-level administrative and strategic support to senior executives and leadership teams, by ensuring crucial support and smooth day to day operations to the Senior Vice President, Enterprise Delivery Office.

Is this role right for you? In this role you will:
  • Provide senior-level administrative, calendar, and time management support to one or more senior executives.
  • Use discretion, confidentiality, sound judgment, and organizational knowledge to support executive priorities.
  • Managing complex calendars, prioritizing meetings, resolving scheduling conflicts, and ensuring executives stay on track with their daily, weekly, and strategic goals.
  • Coordinate meetings and events, including logistics, materials, minutes, offsites, community events, and external functions.
  • Oversee incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
  • Prepare, gather, and verify information for executive communications, reports, presentations, speeches, and meeting materials as needed.
  • Organize executive travel arrangements and logistics, including flights, hotels, transportation and building itineraries.
  • Processing expense reports, keeping track of standard expenditures and billing records.
  • Act as a key liaison and gatekeeper for internal and external stakeholders, including vendors, colleagues, clients, and customers.
  • Contribute to administrative process improvements and ensure alignment with global policies and business controls.
  • Support risk, compliance, operational, AML/ATF, sanctions, conduct, and business continuity requirements, including acting as the department Business Continuity Plan planner when required.
  • Promote a customer-focused, inclusive, and high-performance culture by building strong relationships and upholding Scotiabank's values and Code of Conduct.
Do you have the skills that will enable you to succeed in this role?
  • Minimum of 2years experienceas an administrative assistant.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel and PowerPoint).
  • Experience working in large, complex organizations with extensive stakeholder management.
  • Impeccable organizational skills, autonomy, and solution-oriented attitude.
  • High level of discretion required when dealing with confidential matters.
  • Strong ability to effectively perform in a complex, high changing environment.
  • Solid time management, communication, and presentation skills.
