Job Summary

What is the opportunity?

This Executive Assistant provides direct support to the Regional Vice President, Commercial Financial Services in Regina, Saskatchewan. The incumbent is responsible for organizing schedules and correspondence to ensure operational effectiveness. Responsibilities include following up on action items, maintaining calendars, coordinating travel arrangements, maintaining files, and preparing correspondence and presentation materials.

Job Description

  • Manage and maintain executive calendars, coordinate meetings/conferences, and ensure all materials, packages, and catering requirements are provided.
  • Act as the RVP’s delegate for email and phone during absences, handle/forward issues, and prioritize for RVP’s action upon return.
  • Develop communications, meeting/conference materials, forms, documents, presentations, and spreadsheets for multi-channel communication.
  • Coordinate all requirements, maintain records for the team, including preparing and verifying monthly expense claims, invoices, travel expenses, supplies, and updating vacation and absence records for the executive team.
  • Organize quarterly town halls, employee recognition celebrations, and other team events.
  • Maintain the global distribution list and distribute group-wide communications.
  • Raise awareness among the team, extend invitations to key business partners, and maintain effective knowledge of relevant resources and services within the organization.

  • Excellent interpersonal and communication skills (written and verbal) with the ability to work with all levels of management and staff.
  • Ability to take initiative, prioritize tasks, work independently, and as part of a team.
  • Discretion in handling sensitive and confidential information.
  • Superior attention to detail, composure under pressure, and confidence.
  • Ability to develop and maintain constructive working relationships at all levels.

  • Ability to anticipate needs, resilience in challenging situations, and perseverance.
  • Professionalism, enthusiasm, energy, and a sense of urgency.
  • 4+ years of experience as an Executive Assistant in the financial industry.
