Position Summary

NACCA is seeking a highly organized, adaptable, and professional Executive Assistant to provide comprehensive administrative support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), and Chief Strategy Officer (CSO). This role is critical in ensuring the seamless operation of executive schedules, communication, and internal coordination. The successful candidate will act as a key liaison between the Executive Team and internal/external stakeholders, supporting NACCA’s mission through high-level administrative excellence.

Key Responsibilities

Executive Support

  • Provide high-level administrative assistance to the CEO, COO, and CSO.
  • Manage executive calendars, meetings, and travel arrangements.
  • Prepare and edit reports, presentations, and correspondence.
  • Process expense reports and reimbursements.
  • Act as a primary contact for internal and external stakeholders.
  • Liaise with the Board of Directors and government officials.
  • Handle confidential information with discretion.

Meeting & Event Coordination

  • Prepare agendas, take minutes, and track follow-ups for executive meetings.
  • Support logistics for board meetings, retreats, and national events (e.g., NACCA Forum).

Project & Strategic Support

  • Assist in strategic initiatives and projects, including research and coordination.
  • Monitor project timelines and support interdepartmental collaboration.
  • Source vendors and coordinate procurement for national events.

Administrative & Operational Efficiency

  • Maintain organized filing systems and improve administrative workflows.
  • Oversee building operations, guest reception, and vendor coordination.
  • Serve as the first point of contact for office inquiries and maintenance.

Qualifications

Education

  • Two- or three-year diploma in Business Administration, Office Management, or a related field
  • An equivalent combination of education and experience will be considered

Experience

  • Minimum of 3-5 years of progressive administrative experience, preferably supporting executive-level roles
  • Experience working in Indigenous organizations or with Indigenous communities is a strong asset
  • Experience working in corporate governance is also a strong asset.

Abilities, Knowledge & Skills

  • Strong organizational, time management, and prioritization skills
  • Excellent verbal and written communication skills
  • High degree of professionalism and discretion when dealing with sensitive information
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other modern productivity tools
  • Ability to work independently while maintaining strong team collaboration
  • Understanding of Indigenous cultures, values, and governance structures is considered an asset
  • Bilingualism (English/French) is an asset
