We are seeking a highly organized and experienced Executive Assistant to support our executive team
with administrative tasks, with a strong focus on the administration of Canadian group benefit plans.
The ideal candidate will possess a comprehensive understanding of group benefits in Canada, such as
health, dental, vision, life insurance, and retirement plans, along with advanced administrative
skills. This position requires someone who can seamlessly manage the day‐to‐day support of senior
leadership
while also being a key resource for the administration of employee benefits programs.
Key Responsibilities:
Provide high‐level administrative support to executives, including managing calendars,
scheduling meetings, arranging travel, and handling correspondence.
Administer and coordinate employee group benefit plans for a number of group clients in
Canada, including health, dental, vision, life insurance, disability, and retirement benefits (e.g.,
Liaise with insurance providers, benefit vendors, and third‐party administrators to
ensure the smooth administration and communication of benefit plans.
Ensure compliance with Canadian federal and provincial regulations related to benefits,
such as the Canada Labour Code, Employment Insurance (EI), and the Canada Pension Plan (CPP).
Manage employee benefit enrollments, life event changes, and plan updates, ensuring
employees receive timely and accurate information regarding their benefits.
Coordinate and communicate details of the annual benefits open enrollment period,
including preparing materials, answering questions, and guiding employees through plan options.
Maintain benefit‐related records, ensuring accuracy and compliance with privacy laws,
including the Personal Information Protection and Electronic Documents Act (PIPEDA).
Provide ongoing support to employees regarding benefits questions, claim issues, and
general inquiries, with a focus on customer service.
Assist with the creation of benefits communication materials, such as newsletters, memos,
and benefit guides.
Assist HR and finance teams with benefits‐related budgeting, reporting, and analysis,
including preparing data for annual renewals.
Handle ad hoc projects as needed, including policy updates, employee engagement
initiatives, and process improvements related to benefits administration.
Experience: Minimum of 3‐5 years of administrative experience, with at least 1‐2 years of
experience in group benefits administration in Canada.
Education: Bachelor’s degree or equivalent experience preferred.
Skills:
Strong knowledge of Canadian group benefit plans (health, dental, vision, life insurance,
disability, RRSPs, etc.) and applicable regulations.
Familiarity with Canadian employment laws and regulations, including Employment
Insurance (EI), Canada Pension Plan (CPP), and applicable provincial legislation.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to prioritize tasks and manage multiple projects effectively in a fast‐paced environment.
Discretion and ability to handle confidential employee information with integrity and
professionalism.
Experience with HRIS systems and benefits management software is a plus.
Certification in Benefits Administration (e.g., CEBS, GBA, or similar) is a plus.
Previous experience supporting C‐level executives or senior leadership teams in afast‐paced environment.
Bilingual (English/French) is an asset, especially in organizations operating in bilingual
regions of Canada.
