Job description

Currently, we are searching for an Executive Assistant to join our Montreal Team.

As the Executive Assistant, you will provide high-level administrative and operational support to specific family members located in the Montreal office and work closely with the Sr Executive Assistant to the Executive Chairman.

Key Responsibilities
  1. Support the senior executives managing their agenda, mail, and other correspondences.
  2. Coordinate logistics for meetings, appointments, events, and ensure all necessary materials are prepared in advance.
  3. Schedule/reserve flights, hotels, transportation, restaurants, managing travel itineraries, and handling travel-related expenses.
  4. Prepare and draft reports, spreadsheets and correspondence with minimal supervision.
  5. Processing and tracking expenses, preparing expense reports, and ensuring accurate reimbursement.
  6. Maintaining follow-up systems to ensure replies are prepared and sent out within a designated time frame.
  7. Acting as a gatekeeper, point of contact and liaison between the executives and stakeholders.
  8. Help track progress on ongoing initiatives and deadlines to ensure timely completion.
  9. Maintain accurate and organized filing systems, including sensitive and confidential information.
  10. Assist Sr Executive Assistant when needed and be a back-up when Sr. Executive Assistant is absent.
  11. Ensure all correspondence and documents are handled with discretion and in line with company policies.
  12. Perform any additional administrative tasks or ad-hoc duties that may arise in the Executive office.
Key Requirements
  1. University degree or College (CEGEP) or equivalent experience in business administration or a related field.
  2. At least 8 years of administrative support experience ideally in a real estate and/or finance environment.
  3. Experienced in working with and providing administrative support to senior executives.
  4. Exceptional organizational and time-management skills with the ability to manage multiple and competing priorities.
  5. Strong communication skills in French and English, both written and verbal.
  6. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  7. Ability to work with discretion and handle confidential information.
  8. Attention to detail with a focus on accuracy.
  9. Proactive, adaptable, and able to anticipate the needs of the Executives.
  10. A positive attitude, strong work ethic, and the ability to work under pressure.
  11. Proven track record of successful team collaboration.
  12. Strong interpersonal skills.
  13. Language required: French and English.
