Your Opportunity:

We’re on the lookout for a Full-Time Executive Assistant to join our team—someone who thrives in fast-paced, ever-evolving environments and knows how to make things happen behind the scenes.

This isn’t your typical corporate gig. We’re not looking for gatekeepers—we’re looking for door-openers. You’ll play a pivotal role supporting our CEO and senior leadership team by keeping things organized, moving, and on track. You’re the kind of person who can anticipate needs before they’re even on the radar, juggle multiple priorities with a cool head, and navigate confidential matters like a pro.

What We're Looking For:

  • Administrative Pro:Reports, calendars, documents—you’ve got the skills to build them, manage them, and fine-tune them like a boss.
  • Trusted Partner: You get it—confidential means confidential. You operate with discretion, integrity, and a high level of professionalism.
  • Governance Supporter: You know your way around board governance, from prepping meeting packages to capturing crisp, actionable minutes and making sure follow-ups happen.
  • Clear Communicator: Whether you’re writing an email, drafting an agenda, or setting up a meeting, you communicate with clarity, precision, and professionalism.

What You’ll Do:

This is a role where no two days look the same—and you love that.

  • Keep executive calendars organized and humming—schedule meetings, coordinate appointments, and make the logistics feel seamless.
  • Prepare reports, presentations, agendas, and board packages with an eye for detail and polish.
  • Support board governance: prep materials, capture minutes, and ensure nothing slips through the cracks.
  • Draft, proofread, and format both internal and external communications with clarity and style.
  • Arrange travel and manage the moving parts so leadership and board members can stay focused on what matters.
  • Be a go-to connector for internal teams and external stakeholders—you’re approachable, responsive, and solutions-oriented.
  • Monitor office systems, keep supplies stocked, and help improve processes that make our work (and yours!) smoother.
  • Jump in on ad hoc projects and bring your organization superpowers to whatever comes next.

What You Bring to the Role:

  • Education: Diploma or degree in Business Administration (or equivalent experience).
  • Experience: A minimum of five years supporting senior leaders as an Executive Assistant, ideally in a fast-paced, non-profit or entrepreneurial environment.
  • Board Governance: At least 3 years supporting board governance and senior leadership—prepping, supporting, and following through.
  • Communication Excellence: You’re a clear, confident communicator—whether you’re writing, presenting, or connecting with stakeholders.
  • Tech Savvy: You’re fluent in Google Suite, Slack, and all things calendar and document management. Bonus points if you love finding new tech shortcuts to keep things efficient.
  • Proactive: You bring a proactive mindset and a steady hand—you’re trusted to navigate sensitive information and high-stakes situations with ease and discretion.
