ABOUT US

The Alberta College of Family Physicians (ACFP) is the provincial chapter for the College of Family Physicians of Canada (CFPC) and was established 70 years ago. We are a member-based, not-for-profit organization representing over 6,000 family physicians, residents, and medical students across Alberta. We support certification through continuing professional development (CPD), uphold standards for certified learning, and advocate for family physicians in Alberta. ROLE OVERVIEW

The Executive Assistant (EA) to the Executive Director (ED) plays a crucial role in supporting the organization’s leadership and governance. The EA manages administrative tasks, supports board and committee activities, and acts as a primary contact for the organization, ensuring smooth daily operations and effective communication.

KEY RESPONSIBILITIES

  1. Assist the Executive Director: Manage high-level email correspondence, coordinate scheduling, travel, and meetings for the ED, President, and Past President/President Elect.
  2. Coordinate Board Activities: Schedule meetings, prepare agendas and minutes, support board succession, and organize events and logistics.
  3. First Point of Contact: Manage communications via email and phone, support stakeholder relations, and handle inquiries.
  4. Records Management: Maintain organizational records, ensure compliance with legislated filing, and support information management systems.
  5. Governance Support: Coordinate governance processes, track membership terms, update policies and manuals, and support annual and special meetings.
  6. Volunteer Coordination: Support onboarding and transition for medical student and resident board liaisons.
  7. Office Support: Manage supplies, mail, shipping, and courier services.
  8. Team Support: Assist with event planning and organizational projects as needed.

QUALIFICATIONS

  • Experience as an Executive Assistant or similar role.
  • Post-secondary education or relevant experience preferred.
  • Proficiency in Microsoft Office and digital collaboration tools.
  • Knowledge of not-for-profit governance and experience working with boards.
  • Healthcare experience is an asset.
