Job Description:

What You Will Do:

Personal Assistant Responsibilities (70%)

Calendar & Lifestyle Management

  • Manage complex family calendars, including school activities, recreational programs, family events, and appointments.
  • Source, book children’s extra circular activities.

Travel Planning

  • Coordinate all logistics for family trips including transportation, accommodations, dining, and activity planning.
  • Identify, secure pricing and liaise with destination specialists, and exclusive service providers.

Household & Property Oversight

  • Oversee personal and vacation residences, including hiring and managing maintenance staff and vendors.
  • Scheduling, and liaising with household staff, including housekeepers, gardeners, etc.
  • Work with accounting to ensure timely payment of household vendors and service providers.
  • Maintain key household and vacation integrating routine and seasonal maintenance schedules.

Personal Errands & Projects

  • Run personal errands and manage special projects as assigned.
  • Coordinate personal appointments.
  • Provide support for vehicle maintenance, and seasonal transitions.

Discretion & Confidentiality

  • Maintain the highest level of confidentiality with respect to all personal and family matters.

Executive Assistant Responsibilities (30%)

Administrative Support

  • Provide executive support to the Director and interface with key business units as needed. (Commercial/Residential Property, Leasing, Hospitality and Accounting).
  • Maintain and prioritize the Directors calendar, balancing internal, external, personal, and travel commitments.
  • Schedule internal and external meetings; ensure proper preparation and follow-up.
  • Plan and manage all domestic and international travel logistics, including flights, accommodations, ground transportation, visas, and travel itineraries.
  • Process expense reports, credit card reconciliations, and vendor invoices.

Project Coordination

  • Assist with select projects such as corporate or sponsorship events (e.g., boat or broker-related gatherings).
  • Manage communications with other executive assistants and ensure timely updates for business priorities.

Documentation & Meetings

  • Support the Director with organizing and filing important corporate and foundation documents.
  • Manage contracts, legal filings, and sensitive business documents.

What You Bring:

  • Bachelor’s degree or equivalent work experience.
  • Minimum 3 years in a high-volume EA/PA position.
  • Familiarity with supporting executives or senior management.
  • Discreet and trustworthy; you value and respect family privacy.
  • Self-motivated and able to work independently.
  • Grace under pressure; adaptable to changing plans or urgent needs.
  • Intuitive and anticipatory; always thinking one step ahead

Salary Range:

$75,000 - $100,000
