We are seeking an exceptional, highly organized, and proactive Executive Assistant, reporting directly to both the CEO and Managing Director. This is a high-impact role for an experienced professional who thrives in a fast-paced environment and is passionate about enabling executive success.

Key Responsibilities include but are not limited to the following:

  • Executive Support: Deliver executive-level administrative support to the CEO, Managing Director, and the broader team, including complex calendar management, meeting preparation, and coordination of internal and external engagements
  • Operational Efficiency: Manage day-to-day administrative functions such as email triage, correspondence, document management, and the upkeep of an efficient, paperless filing system.
  • Investor Relations Coordination: Schedule investor meetings and ensure seamless preparation including calendar updates, CRM management and printing and binding of presentation materials
  • CRM & Document Management: Maintain accurate records in CRM system, track follow-ups, update contact details, and ensure timely documentation of investor communications
  • Document Preparation: Draft, review, and edit high-quality documents and presentations
  • Event & Project Support: Assist with corporate and social event planning; support special projects
  • Strategic Support: Proactively anticipate needs, adapt quickly in a dynamic environment, consistently seeking ways to improve and streamline processes
  • Other Tasks: Demonstrate initiative on ad hoc projects and other administrative and clerical tasks

Qualifications/Competencies:

  • Experience: Post-secondary education with 10+ years of experience supporting C-level executives in demanding, high-performance environments
  • Technical Proficiency: Advanced skills in Microsoft Office (Excel, PowerPoint, Word, Outlook) and expertise in managing complex calendars and digital tools (e.g., CRM systems)
  • Communication: Exceptional verbal and written communication skills, with the ability to represent the firm with professionalism and discretion
  • Organization & Agility: Superior organizational skills and the ability to manage multiple shifting priorities under tight deadlines in high-performance environments
  • Discretion & Trust: Proven ability to handle confidential information with integrity and sound judgment and high degree of professionalism
  • Relationship Building: Collaborative, service-oriented, and capable of building trusted relationships across all levels of the organization and with external stakeholders
  • Initiative & Problem-Solving: A resourceful self-starter who takes ownership and accountability, anticipates needs, and consistently brings a solutions-oriented mindset committed to operational excellence and continuous improvement
