Job summary

Suncor Energy Calgary is seeking a highly organized Executive Assistant to provide comprehensive support to a senior leader and leadership team. You will manage complex calendars, coordinate travel and site visits, and support executive communications in a fast-paced environment.

This role requires exceptional attention to detail, strong relationship-building, discretion with confidential information, and the ability to anticipate needs across multiple locations.

Qualifications

  • 5+ years supporting senior leaders in an executive or administrative capacity.
  • Post-secondary education in Business Administration, Office Administration, or related discipline, or equivalent.
  • Experience managing complex calendars, coordinating meetings, and arranging travel across locations.
  • Strong written and verbal communication, with experience preparing executive correspondence and presentations.
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams).
  • Excellent organizational, prioritization, and stakeholder management skills with discretion.

Responsibilities

  • Manage a complex executive calendar, including meetings, priorities, travel, and scheduling adjustments.
  • Coordinate meetings and events with logistics, agendas, pre-read materials, and follow-up actions.
  • Prepare, proofread, and distribute executive communications, presentations, and announcements.
  • Arrange and coordinate travel plans and site visits across locations.
  • Build and maintain relationships with leaders and stakeholders across the organization.
  • Process expense reports, support expense approvals, and maintain related records.
  • Provide day-to-day office and operational support to improve efficiency and team effectiveness.
  • Maintain headcount tracking and assist with KPI updates and reporting.
  • Respond to urgent requests and special projects with professionalism and sound judgment.

Minimum Requirements:

  • 5+ years of experience supporting senior leaders in an executive or administrative assistant capacity
  • Post-secondary education in Business Administration, Office Administration, or a related discipline, or an equivalent combination of education and experience
  • Demonstrated experience managing complex calendars, coordinating meetings, and arranging travel across multiple locations
  • Strong written and verbal communication skills, with experience preparing executive correspondence, presentations, and organizational communications
  • Proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams
  • Exceptional organizational, prioritization, and stakeholder management skills, with the ability to handle confidential information with discretion and professionalism

  • Build and maintain strong working relationships with leaders and stakeholders across the organization
  • Process expense reports, support expense approvals, and maintain related administrative records
  • Provide day-to-day office and operational support, helping to improve organization, efficiency, and team effectiveness
  • Maintain headcount tracking, support reporting activities, and assist with data accuracy and KPI updates
  • Respond to urgent requests, special projects, and emerging business needs with professionalism and sound judgment

Location and other Key Details:

  • You will work out of our Calgary head office, located in the Suncor Energy Centre at 150 - 6th Ave S.W.
  • This role is office based, hours of work are a regular 40-hour work week, Monday to Friday, with the potential for extended work hours based on business needs
  • Our business professional roles follow internal compensation guidelines, and the pay band will generally be based years of experience and scope of work
