Your opportunity:

This position will support strategic activities of the University of Toronto’s Canadian Hub for Health Intelligence & Innovation in Infectious Diseases (HI3) and Emerging Pathogens & Infectious Diseases Consortium (EPIC). HI3 is a federally funded research and collaboration hub with over 100 academic, not-for-profit, and private sector members with the mandate to coordinate health emergency readiness and response.

Bridging the University’s various divisions and hospital partners, EPIC is a collaborative institutional strategic initiative that marshals Toronto’s advanced research infrastructure and collective world-renowned research and training expertise to enable an integrated, innovative response to infectious diseases. Together, HI3 and EPIC contribute to preparing for future health emergencies, strengthening systems to advance resilience, and fostering innovations to help prevent the next pandemic.

As the Events & Outreach Officer, reporting through HI3, you will support both HI3 and EPIC in the planning and delivery of strategic research events, symposia, workshops and outreach initiatives. Working across a network of academic, healthcare and other external partners, you will coordinate complex event activities and communications that support ecosystem engagement and the delivery of key program priorities. Your work will contribute to bringing partners together around infectious disease research, innovation and health emergency readiness.

Your responsibilities will include:
  • Conceptualizing, organizingand executing events and programming, including coordinating logistics and liaising with clients, vendors and service providers
  • Conducting post-event evaluation and analysis and recommending changes to event planning activities
  • Coordinating the drafting, production and dissemination of advertising, promotional and outreach materials
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Updating and maintaining event and program records, including ticketing databases
  • Supporting event-related financial administration, including cost estimates and expense reimbursements
Essential Qualifications:
  • Bachelor's Degree or an acceptable combination of education and experience
  • Minimum three (3) years of event coordination and outreach experience in a university environment
  • Demonstrated experience conceptualizing, organizing and executing research events and programming, including symposia and workshops
  • Demonstrated experience coordinating complex event logistics, including domestic and international travel, itineraries and accommodations for speakers and participants
  • Experience supporting communications and outreach activities, including developing promotional and event materials and maintaining web content in WordPress
  • Experience liaising with internal and external service providers and stakeholders
  • Experience collecting and analyzing survey and event feedback and conducting post-event evaluations using REDCap and MS Forms
  • Experience coordinating event registration activities and maintaining event or ticketing databases (e.g., 4Waves, Eventbrite)
  • Experience coordinating meetings, including schedules, agendas, materials, action and follow-up items
  • Experience supporting event-related financial administration, including cost estimates, purchases or procurement, and expense reimbursements (e.g., Concur)
  • Demonstrated proficiency with MS Office and other relevant administrative, collaboration, and content-development tools and platforms (e.g., SharePoint, Planner, Airtable, Canva, AI-enabled productivity tools)
  • Advanced written and verbal communication skills, with the ability to work effectively with a wide variety of internal and external contacts
  • Excellent organizational and time-management skills, with the ability to manage competing priorities and meet deadlines
  • Strong problem-solving skills and sound judgment, with the ability to resolve event-related issues and elevate as appropriate
