The Globe and Mail is seeking an Events Coordinator in a hybrid role based in Toronto. You will support planning, logistics, speaker and attendee coordination, onsite execution, and post-event reporting for conferences, summits, awards, and client events.

The role requires 1–3 years in event-related roles, strong organizational and communication skills, and the ability to work with internal teams, vendors, sponsors, and attendees.

Qualifications

  • Bachelor's degree or equivalent experience in Event Management, Hospitality, Marketing, Communications, or related field.
  • 1-3 years of experience in event planning, conference production, hospitality, or project coordination.
  • Strong planning, organizational, and time-management skills with ability to manage multiple priorities.

Responsibilities

  • Coordinate planning and execution of in-person, virtual, and hybrid events with plans, timelines, and deliverables.
  • Manage venues, catering, A/V, signage, transportation, accommodations, and supplier coordination.
  • Support speaker and program management, including communications, scheduling, and briefings.
  • Oversee attendee registration, assist VIPs, and address inquiries.
  • Track sponsorships, branding assets, and sponsor activations; manage on-site needs.
  • Provide operational support: budgeting, invoicing, vendor coordination, and safety compliance.
  • Assist with on-site teams, manage attendee flow, and troubleshoot in real time.
  • Collaborate with internal teams to ensure successful event delivery and reporting.

POSITION OVERVIEW:

The Events Coordinator plays a key role in the successful planning and execution of Globe Events' portfolio of conferences, summits, awards programs, executive roundtables, and custom client events. The role supports all stages of event delivery, including planning, logistics, speaker and attendee coordination, onsite execution, and post-event reporting. Highly organized, detail-oriented, and customer-focused, the Events Coordinator works in a fast-paced environment managing multiple priorities and collaborating with internal stakeholders, vendors, sponsors, speakers, clients, and attendees to deliver high-quality event experiences. This is a new vacancy, and a hybrid role based in Toronto.

REPONSIBILITIES:
  • Coordinate and support the planning and execution of in-person, virtual, and hybrid events, including maintaining project plans, timelines, production schedules, and key deliverables.
  • Manage event logistics, including venues, catering, audiovisual requirements, signage, transportation, accommodations, and supplier coordination.
  • Support speaker and program management, including speaker communications, briefing materials, scheduling, agenda coordination, and speaker briefing calls.
  • Manage attendee registration processes and event platforms, monitor registration and attendance, respond to attendee inquiries, and support VIP guests and special accommodations.
  • Support sponsorship and client commitments by tracking deliverables, coordinating branding assets and materials, and assisting with sponsor activations and onsite requirements.
  • Provide operational support across events, including vendor coordination, event documentation, budget tracking, invoice reconciliation, and compliance with applicable health and safety requirements.
  • Serve as a key member of onsite event teams by supporting registration, managing attendee flow, coordinating event‑day activities, and troubleshooting operational issues in real time.
  • Collaborate with Event Specialists, Sales, Marketing, Finance and other internal stakeholders to coordinate activities and ensure successful delivery of events.
  • Compile post-event reports, surveys, and analytics, and maintain accurate event records and databases, including attendance, engagement, and sponsor performance metrics.
  • Identify opportunities to improve event processes, attendee experiences, and operational efficiencies by leveraging event feedback, survey results, registration data, and industry best practices.
QUALIFICATIONS:
  • Bachelor's degree or equivalent experience in Event Management, Hospitality, Marketing, Communications, or a related field.
  • 1-3 years of experience in event planning, conference production, hospitality, project coordination, or a related environment.
  • Strong event planning, project coordination, and organizational skills, with the ability to manage multiple projects and competing priorities simultaneously.
  • Exceptional attention to detail with strong time-management and prioritization skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer service and stakeholder management skills, with the ability to work effectively with internal teams, vendors, sponsors, speakers, clients, and attendees.
  • Experience coordinating with vendors and suppliers and supporting event logistics and operational requirements.
  • Strong problem-solving skills and adaptability, including the ability to respond to changing priorities and troubleshoot issues in a fast-paced event environment.
  • Experience with budget tracking, invoice reconciliation, and general event administration.
  • Proficiency with Microsoft 365 Office.
  • Ability to work flexible hours, including occasional evenings, early mornings, and event-day schedules, and travel to event venues as required.
SALARY:

The base salary for this role ranges from $55,000 to $68,000 per year. Placement within this rangedependsona candidate’slevel ofexperience,technicalskills, and alignment with the role’s requirements.Candidates who have been identified as meeting the role’srequirementscan expect to be near the midpointof this range, while the upper end is reserved for those with specializedexpertiseor a strongtrack recordof success in comparable roles.This role may be eligible for The Globe’s Annual Incentive Plan, which is based on a combination of corporate and revenue objectives and rewards individual performance.
