Job summary

BC Children’s Hospital Foundation is seeking an Event Experience Coordinator to plan and deliver impactful events that deepen donor connections and advance fundraising. You’ll work with internal teams, donors, and volunteers, handling logistics, engagement, and on-site execution.

You will support the Race for the Kids peer-to-peer strategy, coordinate timelines, vendors, and volunteers, and manage budgets across events.

Qualifications

  • University degree or diploma in marketing, sales, events, or business administration.
  • Minimum three years’ related experience in special events planning.
  • Experience coordinating logistics, timelines, vendors, volunteers, and event-day activities.
  • Strong organizational and project coordination skills with attention to detail.

What you’ll do

We're looking for an Event Experience Coordinator to help plan and deliver impactful and exceptional events that build connection, demonstrate impact, and support fundraising efforts. Reporting to the Senior Event Manager, you'll work closely with internal teams, participants, donors, and volunteers to create meaningful experiences that advance the Foundation's fundraising and stewardship goals.

As part of the Experience team, you'll play a key role in executing the peer-to-peer fundraising strategy for Race for the Kids, supporting participant engagement and stewardship, event logistics and volunteer coordination. Through strong organization, attention to detail, and a passion for exceptional experiences, you’ll help create opportunities that inspire connection, demonstrate impact, and strengthen support for BC Children's Hospital.

More specifically, you will:

  • Support the execution of the RBC Race for the Kids peer-to-peer fundraising strategy, including participant engagement, fundraising communications, platform administration, incentive programs, and other initiatives that motivate and steward fundraisers throughout their journey.
  • Plan and deliver fundraising, cultivation, stewardship, and recognition events that strengthen donor relationships, inspire engagement, and bring the Foundation's mission to life.
  • In partnership with the Senior Manager, Event Experience, develop and manage event plans, timelines, project boards, production schedules, and event communications to ensure seamless execution and alignment across internal and external stakeholders.
  • Independently lead areas of event-day operations, vendor coordination, and on-site execution, including managing logistics, communications, and real-time problem-solving to deliver exceptional participant, and donor experiences.
  • Leverage event technology and fundraising platforms to support registration, participant communications, reporting, data management, and operational efficiency, while identifying opportunities to enhance user experience.
  • Recruit, train, and support volunteers, ensuring they are equipped to serve as knowledgeable, welcoming ambassadors who contribute meaningfully to event success.
  • Build and maintain strong relationships with donors, volunteers, vendors, and internal partners, collaborating across teams to advance fundraising priorities and deliver exceptional experiences.
  • Monitor budgets, track expenses, and provide flexible support across Foundation events and initiatives, contributing to a collaborative, high-performing Experience team.

  • A university degree or diploma in marketing, sales, events, or business administration.
  • Minimum three years’ related experience in special events planning
  • Experience supporting the planning and delivery of events, including coordinating logistics, timelines, vendors, volunteers, and event-day activities.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities while maintaining attention to detail.
  • Excellent interpersonal and communication skills, with a demonstrated ability to build positive relationships with a variety of stakeholders.
  • A proactive and solutions-focused approach, with the ability to adapt to changing priorities and support a seamless event experience.
  • A commitment to delivering high-quality experiences and continuously seeking opportunities to improve processes and outcomes.
  • Proficiency using Microsoft Office applications (Word, Excel, Outlook and PowerPoint), RENXT or Raiser’s Edge fundraising software.
  • Proficiency in Funraisin, Asana, Social Tables, or Marq is an asset.
  • Experience in peer-to-peer fundraising and a not-for-profit environment is an asset.
  • Experience working with collecting, assessing, and acting on large amounts of data.
  • Strong and effective project management and budgeting skills.
  • Ability to work flexible hours as needed, including evenings and weekends.
Additional information

This is a full-time contract opportunity to cover a maternity leave until July 2028.

The hiring range for this position is between $60,870 and $68,000. At BCCHF, we are committed to ensuring that compensation is fair and equitable. Your placement in the salary range will be determined by your experience, relevant skills, and qualifications as they relate to this role.
