Directly reporting to the Engineering Manager, the Administrative Assistant is focused on providing confidential administrative services and support to the Engineering Manager.
- Maintain confidentiality of proprietary materials and information.
- Protect the privacy and security of guests and coworkers.
- Follow company and department policies and procedures.
- Assist with administrative duties including:
- Opening, sorting, and distributing all incoming mail and faxes.
- Maintaining the Engineering filing system.
- Ensuring confidential documents and proprietary information are handled and filed appropriately.
- Typing and reviewing reports, spreadsheets, letters, and other documents.
- Answering telephones.
- Ordering parts and materials.
- Coordinating contractors.
- Dispensing and tracking work requests.
- Scheduling inspections.
- Ensure all purchase orders are entered into the purchase order log, matching incoming invoices with purchase orders.
- Address guests' service needs professionally, positively, and promptly.
- Respond to guest questions and concerns to resolve issues, build trust, and provide excellent service.
- Anticipate guests' needs by asking questions and observing preferences, acting on them whenever possible.
- Thank guests sincerely and bid a warm farewell.
- Assist other employees to ensure proper coverage and prompt guest service.
- Develop and maintain positive working relationships with colleagues and departments.
- Prioritize safety and follow all health and safety requirements in the workplace.
- Perform other duties as assigned.
- Minimum qualifications include a High School diploma or equivalent, with 1 to 2 years of experience as an Administrative Assistant or similar role. Experience in trades, industry, or construction is an asset.
- The preferred candidate will:
- Be familiar with purchase orders and good purchasing practices.
- Possess excellent administrative skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, and maintaining a file system.
- Have strong knowledge of parts, materials, and tool ordering.
- Have experience in parts stocking and inventory management.
- Exhibit excellent interpersonal and organizational skills with strong attention to detail.
- Be a fast learner and a self-starter.
This position is to report to work five (5) days per week and may require additional hours for special events at River Cree Resort & Casino.
