Job Description

Directly reporting to the Engineering Manager, the Administrative Assistant provides confidential administrative support, including:

  1. Maintaining confidentiality of proprietary materials and information.
  2. Protecting the privacy and security of guests and coworkers.
  3. Following company and department policies and procedures.
  4. Handling administrative duties such as:
    1. Opening, sorting, and distributing incoming mail and faxes.
    2. Maintaining the Engineering filing system.
    3. Handling and filing confidential documents and proprietary information appropriately.
    4. Typing and reviewing reports, spreadsheets, letters, and other documents.
    5. Answering telephones.
    6. Ordering parts and materials.
    7. Coordinating contractors.
    8. Managing work requests and scheduling inspections.
  5. Ensuring purchase orders are entered into logs, with invoices matched accordingly.
  6. Addressing guest service needs professionally and promptly.
  7. Responding positively to guest questions and concerns to resolve issues and build trust.
  8. Anticipating guest needs by asking questions and observing preferences.
  9. Expressing genuine appreciation and farewell to guests.
  10. Supporting team members to ensure proper coverage and service.
  11. Maintaining positive relationships with colleagues and departments.
  12. Adhering to health and safety requirements to ensure workplace safety.
  13. Performing other duties as assigned.
Qualifications
  • High School diploma or equivalent.
  • Experience in trades, industry, or construction is an asset.
  • 1 to 2 years as an Administrative Assistant or similar role.
  • Familiarity with purchase orders and good purchasing practices.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong knowledge of parts, materials, and tool ordering.
  • Experience in parts stocking and inventory management.
  • Excellent interpersonal and organizational skills, with attention to detail.
  • Ability to learn quickly and work independently.
Additional Information

This position requires a five-day workweek, with additional hours during special events as needed.
