Job Description
Directly reporting to the Engineering Manager, the Administrative Assistant provides confidential administrative support, including:
- Maintaining confidentiality of proprietary materials and information.
- Protecting the privacy and security of guests and coworkers.
- Following company and department policies and procedures.
- Handling administrative duties such as:
- Opening, sorting, and distributing incoming mail and faxes.
- Maintaining the Engineering filing system.
- Handling and filing confidential documents and proprietary information appropriately.
- Typing and reviewing reports, spreadsheets, letters, and other documents.
- Answering telephones.
- Ordering parts and materials.
- Coordinating contractors.
- Managing work requests and scheduling inspections.
- Ensuring purchase orders are entered into logs, with invoices matched accordingly.
- Addressing guest service needs professionally and promptly.
- Responding positively to guest questions and concerns to resolve issues and build trust.
- Anticipating guest needs by asking questions and observing preferences.
- Expressing genuine appreciation and farewell to guests.
- Supporting team members to ensure proper coverage and service.
- Maintaining positive relationships with colleagues and departments.
- Adhering to health and safety requirements to ensure workplace safety.
- Performing other duties as assigned.
Qualifications
- High School diploma or equivalent.
- Experience in trades, industry, or construction is an asset.
- 1 to 2 years as an Administrative Assistant or similar role.
- Familiarity with purchase orders and good purchasing practices.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong knowledge of parts, materials, and tool ordering.
- Experience in parts stocking and inventory management.
- Excellent interpersonal and organizational skills, with attention to detail.
- Ability to learn quickly and work independently.

This position requires a five-day workweek, with additional hours during special events as needed.
