Job description

Bayshore HealthCare’s Northern Staffing program has provided high-quality community health care solutions to Canada's North since 1997. Our Employee Support Team supports our passionate Healthcare Professionals from all over Canada who travel on assignments to remote northern communities of British Columbia, Alberta, Manitoba, Ontario, Yukon, Northwest Territories and Nunavut.

The Manager of Employee Support is seeking an Employee Support Coordinator to support the customer service experience of field and administrative teams, support in special projects i.e., independent contractor requirements. The Employee Support Coordinator will act as a seamless extension of the Bayshore Northern Staffing administration team and will work closely with the Director of Operations and Director of Clinical Services and other management team members.

This role requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across our divisional team. The ideal candidate will be an experienced incumbent who can support a number of operating systems i.e., managing the complex credentials and onboarding requirements needed by new hires to Bayshore Northern Staffing, a point of contact for requesting, reviewing and managing independent contractor specific requirements and back up support for the Bayshore Northern Staffing Response inbox/incoming calls and triaging inquiries.

The individual in this role must understand Bayshore Northern Staffing business priorities, proactively anticipate needs, and drive improvements in overall communication and responses to field staff and independent contractor inquires and requests. A high level of integrity and discretion in handling confidential information as well as professionalism when dealing with internal and potential external stakeholders is critical. The successful candidate will possess the ability to complete complex tasks autonomously, react with appropriate urgency, and take effective action.

THE ROLE

  • Management of credentials, certificates and funder requirements for employees and independent contractors [IC] and works closely with the onboarding coach(es)
  • Provide first level contact via email, triage inquiries to the appropriate Management team members, track for timeliness of completion
  • Back up to the administrative assistant in supporting the Clinical/Education team orientation/practicum process by sending meeting invitation emails, assigning self-learning modules
  • Maintain reports for new hires, assist with coordination of practicum and work closely with educators for any outstanding support
  • Co-facilitate review Meetings with the Manager of Employee Support and present data to the Director of Operations and Director of Clinical Services
  • Assist with Employee Support project development/roll-out as required and requested by the Manager of Employee Support
  • Coordinate, support and assist the Manager of Employee Support for any required team activities as required (team meetings, reports, process development

Hands-on experience with Microsoft Office applications, including Teams, Word, Excel, PowerPoint, Outlook

Strong written and verbal communication skills. Ability to write and format moderately complex correspondence, including memos, letters

Strong time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision

High level of sound and independent judgment, reasoning, and discretion. Ability to communicate in a professional business manner

Preferred

Experience in documentation management systems and client relationship systems would be an asset
