Job description

MaxSys Staffing & Consulting is seeking a Project Administrator (Data, Analytics and Reporting) to support a national government analytics and reporting team. This role focuses on delivering expert data analysis, reporting, and administrative support to help drive program performance, operational improvements, and compliance with key public sector policies.

About the Role:

You will collaborate with cross-functional teams to maintain strategic and operational reports, ensure data integrity, and enhance business processes for high-impact national programs. This position requires a blend of technical proficiency, analytical skills, and administrative expertise to support program development, decision-making, and continuous service improvement.

Key Contract Details:

  • Location: Ottawa, ON / Hybrid / Remote
  • Duration: 5 year-long contract
  • Security Clearance: Reliability (mandatory)
  • Language: English

Key Responsibilities:

  • Maintain and prepare operational and strategic reports on program management and performance.
  • Collect, validate, and analyze service quality and program data, identifying trends and providing actionable insights.
  • Support compliance with government policies related to reporting, open data, privacy, and access to information.
  • Assist in documenting and improving business practices, tools, and procedures.
  • Use advanced tools (Excel, Power BI, SAP Business Objects) to develop dashboards and enhance reporting capabilities.
  • Provide administrative support including project planning, document management, scheduling, and meeting coordination.
  • Prepare clear, data-driven reports, presentations, and materials to inform decision-making and support operational initiatives.
  • Support onboarding and orientation activities for new staff and consultants.

Must-Have Qualifications:

  • Five (5) years of recent experience in project administration and administrative support, including data collection, analysis, and report preparation.
  • Post-secondary education in Project Administration, Business Administration, Information Technology, or an equivalent field (Canadian or recognized international credential).
  • Proven ability to manage multiple priorities, deliver quality administrative and technical support, and work both independently and as part of a team.
  • Demonstrated experience with SAP Business Objects, Microsoft Power BI, and advanced Excel for business intelligence and reporting.
  • Experience supporting government transparency, proactive disclosure, and handling sensitive financial or program data.
  • Valid Reliability Security Clearance.

Nice-to-Have Experience:

  • Experience with Customer Relationship Management (CRM) systems such as Microsoft Dynamics 365.
  • Familiarity with software development cycles and improving business requirements in complex environments.
  • Industry knowledge related to public sector program delivery and analytics.
  • Certification in Project Management (e.g., PMP, CAPM, PMI-SP, CPM).
