How you’ll make an impact

As a Business Support Coordinator, you will play a key role in ensuring daily operations at Xero run smoothly.

You should be comfortable working in a fast-paced, ever-changing environment, with strong administrative skills. Your effective communication and proactive thinking will set you apart. You are someone who is always a step ahead, planning and prioritizing effectively.

Your responsibilities include providing exceptional administrative support to the Executive General Managers and Senior Leaders within your business area. A significant part of this role involves coordinating work across domains (Customer & Operations). You will collaborate closely with other Business Support Coordinators, Operations Managers, senior leaders, and wider teams to streamline processes, identify improvement opportunities, and support the team to ensure smooth daily operations.

What you’ll do
  • Support senior leaders with diary management, scheduling meetings, managing expenses, and end-to-end travel arrangements.
  • Coordinate the SLT’s annual events calendar in collaboration with EAs and provide support as needed.
  • Build and maintain strong relationships within your support group and the wider organization.
  • Assist with procurement processes, including raising purchase orders, tracking contracts, and managing payments for your domain.
  • Support organizational events, workshops, and meetings, ensuring all materials are prepared and resources are available.
  • Assist with onboarding new employees.
  • Act as an internal liaison to coordinate diaries, manage events, and resource planning across the business.
  • Promote global communication and ways of working within the Leadership Team.

  • The Leadership Team receives comprehensive administrative support.
  • Diaries are managed efficiently and updated in real-time.
  • Travel arrangements are timely and seamless.
  • Expenses are processed accurately and within budget, with issues escalated appropriately.
  • Work quality remains consistently high.
  • Team processes are well documented and accessible.
  • There is strong collaboration across the team, with shared learnings and process improvements enhancing efficiency.
What you’ll bring with you
  • Extensive experience supporting senior executives administratively.
  • Excellent relationship-building skills across all organizational levels.
  • High integrity and experience handling confidential information.
  • Experience in project or operations coordination.
  • Experience in a fast-growing, global business is highly regarded.
  • Proficiency with G-suite is preferred but not essential.
  • Strong multitasking skills in dynamic environments.
  • Experience leading project or process improvement initiatives.
  • Ability to work confidently across multiple time zones.
  • Highly organized, action-oriented, and detail-focused.
  • Ability to quickly establish effective working relationships.
  • Skilled at managing critical issues proactively and following through.
  • Comfortable supporting behind the scenes and anticipating needs.
  • Excellent communication, attention to detail, and a positive attitude.
  • Good process management skills, including documentation and continuous improvement.
  • Flexible mindset and ability to thrive under pressure in ambiguous environments.
  • A proactive, can-do attitude and willingness to assist wherever needed.
