The Job!
In the role, you will oversee the full cycle ownership of the organization’s testing program for applicants across Ontario. You will:
- Coordinate scheduling of all applicant test sessions (aptitude tests, physical, assessments) ensuring appropriate facilities, proctors, timing and candidate registration
- Maintain and update the program website with test-dates, requirements, eligibility criteria, FAQs and other pertinent information
- Manage payment processing for applicants (tracking payments, resolving discrepancies, reporting on payments received/owed)
- Monitor program standards and ensure consistency in candidate experiences and testing compliance
- Generate, analyze and distribute operational reports (scheduling efficiency, candidate status, payment metrics, backlog) to program management and stakeholders
- Communicate regularly with candidates, internal teams (HR, operations), testing venues and external stakeholders to ensure smooth delivery and troubleshoot issues
- Maintain accurate records of candidate data, schedules, test results, payments and issues, ensuring that data integrity and confidentiality are upheld
- Track multiple concurrent tasks and deadlines — including weekend sessions — and adjust plans proactively if conflicts or delays arise
- Conduct full checks and compliance reviews to ensure all processes meet internal audit/quality control standards
- Identify process improvements, suggest automation or efficiency gains (especially around scheduling and payments) and assist in implementation
- Support ad-hoc projects and additional administrative tasks as required within the testing/recruitment function
What you bring to the job
You are someone who wants to showcase their excellence in time management and analytical skills in a professional environment. You also come with:
- Proficient in Microsoft Excel and comfortable learning new scheduling/web-based tools
- Experience with website content updates, payment processing and scheduling logistics preferred
- Demonstrated ability to pull, analyse and cross-reference large data sets, generate accurate reports, and present findings clearly
- Exceptional attention to detail to ensure candidates are scheduled correctly, paperwork is complete and testing standards are maintained
- Able to manage multiple tasks, track deadlines and coordinate across systems simultaneously
- An analytical mindset, able to identify issues, recommend process improvements, and drive follow-through
- Excellent written and verbal communication skills
- Comfortable working in a fast-paced, high-volume environment where priorities may shift rapidly
- Flexibility to work on weekends (typically twice a month) and take equivalent weekday time off as compensation
- Previous scheduling, coordination, or recruitment operations experience is an asset
- Ability to work some weekends, as required
