THE OPPORTUNITY

Are you ready to step into a critical role supporting executive leaders? SaskTel is seeking a professional interested in developing their leadership and decision-making skills as they ensure the smooth operations of two executive schedules.In this position, you'll act as the ultimate liaison; interfacing with all levels of management, external agencies, customers, and government officials to prioritize departmental objectives and priorities. Your exceptional organization and communication skills, coupled with strategic insight and operational know-how will be instrumental in driving our strategic initiatives forward. In this high-impact role, you'll serve as a key integrator—translating vision into action, coordinating across departments, and ensuring alignment between executive priorities and organizational execution. Confidentiality is paramount, as you'll handle sensitive corporate and executive leadership matters with the utmost professionalism.

Specific Accountabilities

  • Expedites the work of the Vice-Presidents by assisting in setting priorities, calendar management, document management, workflows, and organizing meetings and events. Acts on behalf of the Vice-Presidents to organize, delegate, and prioritize matters to management within the division.
  • Responsible for collaborating across the VP support teams to collectively organize, coordinate, and manage SaskTel priorities.
  • Manages and supports board committee operations, including document routing, approvals, and workflow processes.
  • Maintaining appropriate confidentiality, responsible to research, analyze, draft, and compose correspondence, briefing materials and reports based on the general direction of the Vice-Presidents. Ensures that all forms of communication are handled in a timely and accurate manner by replying directly to or directing all information flow to the appropriate management personnel.
  • Interfaces with and facilitates communication on planning and various business issues as required between Crown Investments Corporation, the Board of Directors, all levels of management within SaskTel, external agencies, government, and the SaskTel Executive office. Ensures responses are handled on a timely basis, as well as resolution of inquiries through consultation with appropriate Executive, departments, or staff.
  • Facilitates the ongoing management of the division(s) by tracking and reporting on current and on-going business issues, metrics, planning processes, and by completing special projects as required. Participates as a key member of the management team for the Vice- Presidents division(s).
  • Coordinates the planning and logistics for various meetings. Organizes, reviews, drafts, compiles, and distributes data and other briefing materials, within a strict timeframe, for executive, Board of Directors, and other meetings.
  • Liaises with management and other organizations on behalf of the Vice-Presidents and ensures an objective and confidential approach to the preparation, filing, release or reference of departmental information including personnel and business issues.
  • Arranges travel plans, both national and international, for the Vice-Presidents. Researches and compiles a total itinerary package to ensure the Vice President is prepared for all events and that SaskTel portrays a positive and professional image.
  • Serves the office and SaskTel in a professional manner by maintaining harmonious work relationships with all staff and the public. Includes handling incoming calls / inquiries, directing to the appropriate party, or dealing with callers tactfully and as efficiently as possible. Follows up to ensure requests are handled in a timely manner.
  • Coordinates, analyzes, compiles information for creation and communication of quarterly reports, the SaskTel Holdco Plan and/or the division(s) business plans and inputs the material into a professional document.
  • Maintains a sufficient knowledge of SaskTel operations, division and corporate projects, plans, and developments to ensure an efficient office.

Qualifications

  • Post-secondary education in Business/Office Administration with a minimum of 3 years of experience in a senior-level administrative role or an equivalent combination of education and experience.
  • Demonstrated skills in planning, organizing, and prioritizing.
  • Strong verbal, written and other communication skills.
  • Ability to build relationships with executives, colleagues, internal and external stakeholders.
  • Demonstrated ability to pro-actively listen to resolve issues, make good independent decisions, and work independently with a minimal amount of direction or guidance.
  • Ability to develop and implement innovative administrative process solutions.
  • Extensive knowledge of SaskTel corporate structure and departmental functionality is essential.
  • Strong organizational, problem-solving, and interpersonal skills are required.
  • Ability to handle challenges and provide conflict resolution to situations.
  • Proficient in the Microsoft Office Suite Outlook, Teams, Excel, Word.
  • Knowledge of SharePoint and Board Software Products (Diligent) is preferred.

This is an on-site position located at the location(s) above. The successful candidate must be located within the province of Saskatchewan. Out of province/country candidates must be willing to relocate. Flexible work opportunities, in province, may be available.
