The role of a Parts Coordinator is to efficiently process and manage parts for the collision facility. Parts are a main artery of a collision facility, which is an integral part of the operation and performance. The Parts Coordinator must have a sense of urgency and attention to detail. They assist with parts from start to finish.
Primary Objectives of the Role
- Assist Estimator with parts sourcing for claims, including part pricing, availability, confirmations, and finding vendors.
- Receive parts orders from various vendors, confirm parts billed are in hand and accounted for.
- Sign for orders with vendors.
- Check parts for shipping damage.
- Minimize parts delays by capturing mistakes and ensuring parts match disassembled parts or photos in the management system for accuracy.
- Immediately record received parts in the management system upon arrival, scan invoices, and process payments according to shop policies.
- Enter PPCs (Part Price Changes) to inform the team for supplements.
- Organize and track parts for easy location, store safely to avoid loss or damage, and label with RO information.
- Monitor the RO parts order and work with the team to update ETAs for incomplete orders, especially for WIP repairs or non-drive claims.
- Provide detailed updates on parts orders and ETAs to estimators, technicians, and production staff.
- Assist technicians in locating required parts, fluids, hardware, etc.
- Stage parts for repairs, ensuring technicians have everything needed.
- Process returns with vendors and track credits.
- Reorder parts as necessary, tracking ETAs and updating team members.
- Keep the parts area neat and organized, ensuring receiving areas are clear.
- Follow health and safety guidelines when moving heavy items or using ladders and equipment.
- Maintain up-to-date WHMIS training and knowledge of information security (PIPEDA).
- Having I-CAR certification and knowledge of inventory management systems (e.g., carpart.com, OE Link, Cross Canada) is an asset.
- Proficiency with Nexsyis Management System, Windows, Outlook, Audatex, and Mitchell is preferred.
- Ability to lift up to 50 lbs occasionally.
- At least 2 years of related experience in a fast-paced, team-oriented environment.
- Valid G-class driver’s license with a clean abstract over the last 3 years.

- Effective communication skills in English; French proficiency is an asset but not required.

- Ability to work independently in a fast-paced environment, self-motivated, and composed under pressure.

Schedule
- 8.5-hour shifts, Monday to Friday.
