Program Delivery Specialist

Banff Centre for Arts and Creativity aims to inspire everyone who attends our campus – artists, leaders, and thinkers – to unleash their creative potential.

The Opportunity

The Program Delivery Specialist (PDS) supports the strategic and operational objectives related to program design and delivery at Banff Centre. The PDS interprets and operationalizes program needs across all programming assignments in the arts disciplines, working closely with Program Managers and Directors.

The PDS provides logistical, administrative, and operational support throughout the program delivery cycle. This includes interpreting program requirements—technical, creative, classroom design, informational design—and collaborating with internal and external teams to secure and schedule resources.

The PDS facilitates collaboration with all departments, clients, teams, and faculty to ensure the accuracy and excellence of learning materials, platforms, and resources, both print and digital.

Roles and Responsibilities

Reporting to the Manager, Program Delivery, key responsibilities include:

  1. Providing logistical and administrative support in planning and organizing program-related events, such as presentations, readings, open studios, performances, and theatre productions.
  2. Assessing arts program and special project needs, providing program delivery assessments, adjudication support, and managing day-to-day delivery requirements.
  3. Overseeing setup and operation of technology, software, and digital platforms used in program delivery, ensuring alignment with programming goals and policies.
  4. Leading the coordinator team in realizing program delivery needs, including digital and print materials, digital platforms, and cultural or ceremonial sessions.
  5. Collaborating with program managers/directors to curate faculty and participant experiences in workshops and learning spaces, managing setup and troubleshooting to ensure high-quality experiences.
  6. Communicating all logistical and artist care details via Group Resume Form (GRF) and Banquet Event Orders (BEOs), verifying bookings, and resolving issues proactively.
  7. Maintaining program schedules and ensuring smooth communication throughout the program duration.
  8. Completing administrative tasks related to sourcing, procurement, payments, and financial reconciliation, including processing purchase orders and expense claims.
  9. Acting as a liaison with program participants, faculty, guests, and other departments to facilitate communication.
  10. Providing exceptional customer service and problem-solving support to internal and external clients, artists, participants, staff, and contractors.
Qualifications and Educational Requirements
  • Minimum of 5 years’ experience in project or event production, preferably in a post-secondary or client service environment.
  • University degree in a related discipline such as Humanities, Arts Administration, or equivalent experience.
  • Advanced skills in InDesign and informational design.
  • Strong project/production scheduling skills.
  • Ability to work independently and collaboratively, demonstrating leadership and creative problem-solving.
  • Experience working with diverse artists, participants, and faculty.
  • Ability to work effectively under pressure and adapt to shifting priorities.
  • Proven project management skills with the ability to handle multiple projects simultaneously.
  • Exceptional organizational and time management skills.
  • High reliability and self-motivation.
  • Proficiency in Microsoft Office Suite, especially Excel, and experience working with databases and online environments.
  • Comfort with new technologies, software, and digital platforms.
Special Requirements

This position operates on a rotating schedule, including evenings and weekends, depending on programming activities.

Employment Terms and Benefits
  • This is a unionized, salaried position under CUPE 4318, with a 6-month probation period.
  • The annual salary ranges from $61,464.00 to $64,521.60, based on experience, for a 40-hour workweek.
  • Benefits include health coverage via Alberta Blue Cross, a pension plan, and various staff perks such as housing options, professional development, employee assistance, health spending accounts, discounts, and onsite fitness facilities.
