The Opportunity

Dillon Consulting is seeking motivated candidates to fill several positions available for a Proposal Coordinator to join our Business Development and Sales (BDAS) group. The addition of a new Proposal Coordinator is part of an exciting new approach to managing our proposal sales operations in Dillon!

As part of our Proposal and Sales Team, this key role involves working closely with our Business Units and technical subject matter experts to create high-impact proposal sales submissions. Responsibilities include managing all aspects of proposal submission, content generation using Dillon’s proposal management software and content library, and guiding technical staff through our proposal processes. This role suits someone who thrives in a fast-paced environment, enjoys collaboration, and is highly organized and self-motivated.

Responsibilities
  1. Work with Business Units and technical teams to create professional, high-quality proposals from initiation to delivery.
  2. Use our proposal management software daily, collaborating with our Proposal Content Specialist (full training provided).
  3. Review project documents to evaluate requirements, contractual terms, and compliance.
  4. Compile marketing materials, prepare qualification documents, and coordinate graphics and layout with Marketing.
  5. Coordinate information flow to meet deadlines and review requirements.
  6. Format, edit, print, and review documents.
  7. Develop internal relationships to ensure timely responses and maintain high standards.
  8. Implement quality control measures.
  9. Monitor potential project opportunities using internal systems.
  10. Participate in proposal debriefings for continuous improvement.
Qualifications
  1. At least two years’ experience with proposals and tender submissions.
  2. Three to five years of administrative experience or equivalent education/skills.
  3. Post-secondary education in administration, marketing, business, or communications is an asset.
Experience
  1. Advanced skills in Microsoft Word, especially large document formatting.
  2. Proficiency in Microsoft Excel.
  3. Strong writing, editing, and communication skills.
  4. Ability to format, edit, and layout documents consistently.
  5. Attention to detail and accuracy.
  6. Understanding of financial terms and working with budgets and schedules.
  7. Strong organizational and time management skills.
  8. Experience in a professional services firm (environmental/engineering/planning) is an asset.
  9. Experience with proposal management software and Adobe Creative Suite is an asset.
  10. APMP Certification is an asset.
