Who We Are Looking For

We seek a dynamic, highly motivated Assistant Operations and Property Services who embodies our values of compassion, accountability, responsiveness, and empowerment towards clients, families, and colleagues.

The role involves executing general reception duties and overseeing procurement and supply distribution. Reporting to the Manager, the Assistant will collaborate with the Coordinator to ensure the effective operation of the Operations and Property Services portfolio.

This is a full-time, temporary, non-unionized position until June 26, 2026, paying $22.07/hour for 40 hours per week.

Key Responsibilities

  1. Respond to inquiries from donors, clients, and community members; sort mail; assist with room bookings.
  2. Support onsite needs, including petty cash and maintenance requests.
  3. Ensure compliance with operational plans, policies, procedures; maintain updated Operational Manuals.
  4. Assist with inventory procurement, invoicing, and oversee supply distribution.
  5. Collaborate with staff, external service providers, and clients to facilitate access to services onsite or remotely.
  6. Implement procedures to mitigate organizational risks, including fire and health protocols; report risks promptly.
  7. Serve as onsite emergency contact during business hours (e.g., fire alarms, urgent maintenance).
  8. Work with the Manager to implement Quality Improvement Plans (QIP) related to procurement and distribution.
  9. Participate in service audits and evaluation processes.

Qualifications

  • College degree in Administration, Business, or related field preferred; 1-2 years of experience.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience managing inventory, ordering, and invoicing.
  • Strong written and verbal communication skills.
  • Ability to prioritize, analyze, solve problems, and handle sensitive/confidential information.
