Job Description:

Seasonal Office Coordinator at NFI Industries is located in Delta, BC, Canada. This position is suitable for candidates with a Bachelor Degree. The role is part of the Administrative field and is open until June 8, 2025.

Job Responsibilities:

Overview: The Office Coordinator, under general supervision, performs a variety of administrative and office support functions, including creating and maintaining reports, records, and files related to department work processes.

Shift: Monday to Friday, 7am to 3:30pm. This is a seasonal position through September.

Responsibilities include:

  • Ensuring security protocols at the front desk (driver and visitor sign-in).
  • Answering and routing telephone calls politely, taking messages, and directing calls appropriately.
  • Scheduling inbound and outbound freight in coordination with customer and operations departments.
  • Verifying receiving and shipping documents for accuracy.
  • Maintaining data and records related to shipping and receiving activities.
  • Verifying shipping orders and quantities against picking documents.
  • Assisting in resolving customer discrepancies.
  • Collecting inbound freight documentation and routing it to the correct record-keeping unit.
  • Managing the pallet control and exchange program.
  • Handling AR/AP and vendor invoices.
  • Running customer reports and scanning invoices as needed.
  • Assisting with special projects as directed by supervisors or managers.
  • Supporting timekeeping and payroll reporting.
  • Filing necessary paperwork for the facility.
  • Performing other administrative tasks as required.
Qualifications:
  • High school diploma or equivalent.
  • 2-5 years of office experience.
  • Proficiency in MS Office applications.
  • Intermediate typing skills and 10-key by touch.
  • Experience with shipping software systems like UPS and FedEx.
  • Excellent communication skills.
  • Strong time management, multitasking, reporting, and customer service skills.
  • Flexibility to work irregular or extended hours, including nights, weekends, and holidays.
