As an Administrative Assistant, your responsibilities will include:

  1. Ensuring reception is opened/closed appropriately and in a timely manner.
  2. Answering the software-based telephone professionally and transferring calls to the appropriate business unit or colleague.
  3. Greeting and welcoming guests in a friendly manner.
  4. Organizing and distributing incoming and outgoing mail.
  5. Assisting with requests for stationery and office supplies, maintaining inventory.
  6. Printing financial statements, tax returns, forms, manuals, and reports.
  7. Scanning documents and embedding them in electronic files.
  8. Managing records, including filing and liaising with storage facilities.
  9. Organizing catering, meeting room setup, and cleanup.
  10. Maintaining cleanliness of kitchens and common areas throughout the day.
  11. Managing boardroom bookings, catering, setup, and cleanup for meetings and events.
  12. Preparing client files and supporting new client setup processes.
  13. E-filing as required.
  14. Providing billing support using various company systems.
  15. Assisting with the preparation and submission of time and expense reports.
  16. Planning and coordinating travel arrangements for domestic and international trips.
  17. Participating in training and staying current with company software.
  18. Supporting the Manager of Administrative Services with ad hoc duties.

What We Look For:

  • 1-2 years of administrative experience.
  • Excellent written and verbal communication skills.
  • Strong Word processing skills.
  • Proficiency with MS Office, Visio, Adobe Acrobat, etc.
  • Problem-solving skills and a proactive attitude.
  • Experience in providing exceptional client service.
  • Ability to take initiative and work independently.
  • Ability to multitask and meet deadlines in a demanding environment.
  • Discretion and sound judgment regarding confidential matters.
  • Availability to work overtime during peak seasons.

Our current salary range for this role in Abbotsford, BC, is $41,000 - $56,000, with variations based on location and experience.
