Overview
Reporting to the Payroll Manager, the Payroll Specialist is responsible for the full payroll cycle, including preparing, verifying, submitting payroll runs, and conducting all post-payroll tasks bi-weekly. The role also encourages continuous process improvements.
This is a full-time, permanent role.
Responsibilities
- Daily review of Payroll Inbox
- Timely and accurate responses to emails regarding:
- Payroll questions (T4s, RRSPs, benefits, vacation balance, etc.)
- Supervisor/Manager emails regarding timesheets or access to timesheets in UKG
- UKG access issues and troubleshooting
- Inquiries from accounts payable and treasury teams
- Informational emails to employees for statutory holiday payroll details
- Providing information to third parties such as CRA, Ministry of Finance, Revenue Quebec
Payroll changes: data entry and verification- Weekly processing of timesheets
- Prepare payroll for new hires, rehires, transfers, changes, terminations, garnishments, etc., by completing payroll processing worksheets for each pay
- Run test payroll in UKG, reconcile, and balance all payroll records
Post payroll tasks for all payroll groups- Generate and save all post-payroll reports
- Update existing post-payroll worksheets
- Payment requests and reporting, including wire transfers, RRSP/DPSP/TFSA contributions, garnishments, accounts receivable remittance, WSIB reporting and payments, EFT payments for leaves, UKG invoices, and benefits invoices
Year-end tasks- Reconcile earnings and statutory deduction remittances to CRA; process EHT, WSIB, CNESST for issuing T4s
Providing training and support for UKG Pro & UKG Ready to new or existing employeesOther duties as requiredEducation & Specialized Knowledge
- Post-secondary diploma in Business or Accounting
- Payroll operations courses preferred
- 2+ years experience in processing full cycle payroll, ideally with a premium provider
- Knowledge of UKG/UltiPro payroll/HRIS systems preferred
- Intermediate-advanced Excel skills
- Strong communication skills
- Attention to detail, proactive attitude, integrity, confidentiality
- Excellent organization and time management
- Canadian Payroll Association designation an asset
- French language skills an asset
