Job Description & Key Responsibilities

The Office Administrator will be responsible for managing daily office operations, providing administrative support, and handling front desk duties. This includes overseeing office processes, maintaining records, coordinating meetings, and managing Accounts Payable and Expense reports. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. The role also involves supporting senior leadership directly.

Responsibilities
  1. Office & Administrative Support
  2. Manage front desk operations, greet visitors, handle inquiries, and maintain a professional reception area.
  3. Oversee office workflows, including document management, filing, and correspondence handling.
  4. Maintain inventory of office supplies and equipment, placing orders as needed.
  5. Process mail and coordinate courier services.
  6. Provide administrative support to senior management, including calendar management, meeting coordination, and document preparation.
  7. Organize meeting materials, presentations, and reports.
  8. Handle confidential information with discretion.
  9. Process Accounts Payable and Accounts Receivable transactions accurately.
  10. Manage office expenses, track expenditures, reconcile invoices, and ensure timely payments.
  11. Process employee expense reports and follow up on approvals and reimbursements.
Special Projects
  • Assist with special projects and initiatives as assigned by senior management.
Skills & Qualifications

The ideal candidate is motivated, enthusiastic, resourceful, and adaptable, with strong competencies in managing changing environments.

Qualifications
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with QuickBooks and SAP is a plus.
  • Experience in handling accounts payable, expense reports, and budget tracking.
  • Exceptional organizational and communication skills, with attention to detail.
  • Strong interpersonal skills and a customer-focused approach.
  • Proactive problem-solving skills.
  • Discretion and confidentiality in handling sensitive information.
  • University degree or Diploma.
  • Minimum of two years experience as an Admin Assistant or Office Admin.
  • Strong computer skills, including MS Office.
  • Excellent written and oral communication skills.
  • Experience working in an office environment.
  • Strong analytical, organizational, and multitasking skills.
  • Ability to prioritize, work under pressure, and meet deadlines.
