Job description

Administrative Support Position (Full Time, Permanent)

Start Date: Negotiable – position is available immediately

Wages: $24.76 to $26.38 per hour plus a 9.31% employer pension contribution

Hours: Monday to Friday, 8:00 am to 4:00 pm

As part of our Administrative Support Team, you will work with a skilled and supportive group of professionals, updating children’s charts, typing and formatting medical/client reports, answering calls, greeting the public, and providing other related duties. This is a unionized position that includes a comprehensive benefit package, including extended health, dental, vision coverage, and enrollment in the defined benefit Municipal Pension Plan.

The successful candidate will be friendly, detail-oriented, highly organized, possess strong general office and computer skills, type a minimum of 50 words per minute, and hold a British Columbia Drivers license (class 5). Skills should be developed through completing an Office Administration training program with at least 1 year of recent related experience, or an equivalent combination of training and experience. Additional assets include:

  • Medical terminology and experience with electronic medical records systems
  • Updating WordPress-based websites
  • Desktop publishing and graphics applications for creating documents, pamphlets, promotions, and infographics

JOB DESCRIPTION

JOB TITLE: Administrative Support

JOB SUMMARY: Reporting to the Director of Operations, the employee will perform various administrative functions including composing correspondence, typing reports, filing, meeting preparation, answering calls, and providing information to the public.

BENCHMARK: Administrative Support 3 - 80103

CLASSIFICATION/GRID: Community Subsector Association Collective Agreement - Grid 5

REQUIRED QUALIFICATIONS:

  • Grade 12 or equivalent, plus either:

• Completion of an Office Administration Certificate with at least one year of recent related experience, or

• An equivalent combination of education, training, and experience

  • Valid Class 5 BC driver's license
  • Strong basic computer skills, including Microsoft Word, Excel, and Outlook
  • Minimum typing speed of 50 words per minute
  • Acceptable criminal record check
  • Ability to perform the duties of the position
  • Fluency in English, both verbal and written

TYPICAL DUTIES:

  • Entering children and family information into electronic charts, typing and formatting reports, compiling statistics, and transcribing recordings.
  • Sorting, distributing, and processing mail.
  • Verifying receipts of packages.
  • Answering inquiries via telephone, email, and in person, providing information about the CDC and its services.
  • Managing records through setting up and maintaining filing systems, medical charts, and indexing files.
  • Gathering and compiling information and statistics as needed.
  • Assisting with client intake and liaising with information sources.
  • Organizing meetings, booking rooms, and preparing notices and agendas.
  • Transcribing meeting notes and minutes.
  • Organizing clinics and video conferences.
  • Tracking staff driving records, registrations, and certifications, following up as necessary.
  • Registering and monitoring staff safety training and criminal record checks.
  • Ensuring staff compliance with policies and safety quizzes.
  • Receiving and issuing payments.
  • Creating graphics, signs, and managing social media and website content.
  • Assisting with recruitment, events, and fundraisers.
  • Preparing purchase orders and managing supplies.
  • Performing other related duties as assigned.
