Are you a highly organized and proactive individual looking to kickstart your career in a dynamic office environment? We're seeking an enthusiastic Office Administrator to join our team in Grande Prairie! In this role, you'll support daily operations, provide essential administrative support, help to keep our billing processes running smoothly, and facilitate communication across various departments. This is a fantastic opportunity for someone who is organized, eager to learn, takes initiative, and wants to grow within a fast-paced environment.

Key Responsibilities:

  • Assist in preparing, reviewing, and submitting time tickets for customer approval.
  • Track submitted tickets, follow up on approvals, and ensure clear documentation.
  • Help coordinate communication between field staff, parts, and admin to support timely billing.
  • Maintain organized records of jobs, service calls, and supporting documents in company systems.
  • Follow up on materials and parts needed for jobs to support field scheduling.
  • Perform basic billing checks and help flag any issues or missing information.
  • Provide general office support including ordering supplies, booking travel, and organizing team functions.
  • Support front desk/reception and provide coverage during staff vacations.
  • Help track open jobs/service calls and keep systems up to date.
  • Assist with basic inventory tracking and vendor quote comparisons.
  • Maintain and update spreadsheets such as AR and unbilled revenue as directed.
  • Participate in cross-training and contribute to overall team support.


Qualifications:

  • 1–2 years of experience in an office administration or coordination role preferred.
  • Strong organizational and time management skills.
  • Clear, professional communication skills.
  • Comfortable working with Microsoft Office tools (especially Excel and Outlook).
  • Willingness to learn billing systems and internal tools.
  • Ability to manage multiple tasks and prioritize in a busy environment.
  • Team-oriented and proactive approach to problem solving.
