Job summary

Fasken in Ottawa is seeking an E-Discovery Services Project Manager to lead end-to-end e‑discovery projects for litigation, investigation, and regulatory matters. You will liaise with lawyers, clients, IT, review teams, and external providers to handle ESI defensibly and cost-effectively.

A Law Clerk/Paralegal/Legal Admin diploma and 5+ years in e‑discovery or litigation support are preferred; Relativity certifications and RelativityOne proficiency are highly valued.

Job description

Position Overview

The E-Discovery Services Project Manager (EDS PM) is responsible for managing end‑to‑end e‑discovery projects for litigation, investigation, and regulatory matters. Acting as a liaison between lawyers, paraprofessionals, clients, IT professionals, review teams, and external service providers, the EDS PM ensures electronically stored information (ESI) is handled defensibly, efficiently, and cost‑effectively while adhering to established protocols and procedures. The role requires strong project management skills, technical proficiency, and the ability to provide strategic guidance on best practices.

Responsibilities
Project Management
  • Serve as a technology‑focused project lead on assigned cases.
  • Collaborate with case teams and client resources to identify, preserve, and collect potentially relevant sources of ESI, through custodian questionnaires, interviews, instructions for self‑collection, or oversight through an external provider.
  • Perform ingestion of client data or import data collections, identifying, troubleshooting, and resolving errors.
  • Execute database administrative tasks, including creating or modifying views, layouts, fields, imaging, and OCR sets.
  • Collaborate on culling, search, and review strategies.
  • Provision user access, configure group security, and workspace permissions.
  • Conduct quality control (QC) checks throughout the project lifecycle to ensure accuracy and defensibility.
  • Fulfill deliverables to ensure adherence to agreed‑upon exchange specifications.
  • Provide guidance on data disposition and execute accordingly.
Project Governance and Oversight
  • Develop and manage project plans, budgets, metrics, timelines, and workflows to ensure deliverables are completed on time and within budget.
  • Monitor project progress, identify risks and challenges, and proactively escrow issues to case teams or stakeholders.
  • Support and encourage the use of the Managed Services Agreement for e‑discovery service delivery.
Training
  • Conduct or participate in training lawyers and paraprofessionals on e‑discovery tools and workflows.
  • Contribute to process improvement, updating templates, standards, guidelines, and training materials.
  • Commit to continuous learning and stay current on emerging technologies and trends.
Qualifications
Education and Experience
  • A Law Clerk, Paralegal, or Legal Administration diploma is preferred.
  • Minimum of 5+ years’ experience in e‑discovery, litigation support, project management, case management, or law clerk within a legal environment.
Technical Skills
  • Completion of Relativity certifications required; Relativity Certified Administrator designation preferred.
  • Proficiency in RelativityOne.
  • Knowledge or experience with other e‑discovery applications.
  • Strong working knowledge of Microsoft 365.
  • Strong understanding of e‑discovery best practices, legal and regulatory requirements, and industry standards.
Professional Skills
  • Strong project management and organization skills, managing competing priorities under tight deadlines.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong analytical, problem‑solving, and critical‑thinking skills.
  • Excellent written and verbal communication skills, explaining technical concepts to non‑technical stakeholders.
  • Confidence interacting with lawyers, clients, and external service providers.
  • Ability to work independently, take ownership of tasks, and demonstrate initiative.
  • Strong collaboration skills and a team‑oriented mindset.
Additional Skills (Asset)
  • Membership or participation in industry groups such as ACEDS, WiE, ILTA.
  • PMP designation.
  • Experience with scripting or query languages (e.g., SQL or Python).
  • Fluency in French.
Pay Range

$95,000 to $108,000 per annum. Pay range commensurate with experience.
