Position Description:
The Document Control Coordinator – Construction supports the construction process by assisting with the organization and file management of project documents throughout the duration of a construction project. The position will initially be based out of our main office in Edmonton, Alberta, with the role later shifting to a project site located near Fort Saskatchewan, Alberta.
Essential Duties & Key Responsibilities:
- Project execution and document control responsibilities including drawing management and maintenance, and owner supplied documentation.
- Project closeout responsibilities including assisting with inspections, owner training, managing the O&M Manuals, reviewing, tracking, and communicating punch and deficiency lists, removing all insurance, closeout of utilities and site services, and removing temporary facilities.
- Maintain the integrity of the QA/QC plan.
- Facilitate, record and compile meeting minutes; follow up on action items.
- Track productivity and performance of the project.
- Project accounting basics.
- Adhere to Clark Builders’ policies and procedures and aid others in compliance.
- Support and grow ongoing trade partner and client relationships.
- Lead the organization of and maintain up-to-date project engineering logs, including RFIs (Requests for Information), submittals, and approval letters.
- Organize and ensure access to current documents (e.g., drawings, specifications) issued by Architect for project staff.
- Organize and maintain complete historical set of project documents.
- Coordinate subcontractor submissions for approval and maintain up-to-date subcontractor submittal files consisting of shop drawings, samples, and product data.
- Coordinate timely submission of orders for project documents and/or make copies of documents on demand.
- Organize inventory of records retention at conclusion of project, including off‑site storage.
- Other activities, duties, and responsibilities as assigned.
- Provide professional customer service and positive interactions while processing day‑to‑day administrative items and supporting local business unit staff.
- Edit and assemble documents and reports for department head/manager.
- Understand contract and bonding process and escalation procedures.
- Organize and provide assistance during meetings as requested; record, transcribe, and distribute meeting minutes.
- Maintain organized filing systems and coordinate document retrieval schedules.
Qualifications:
- Certificate in a construction related discipline
- 2 + years’ experience working as a Project Coordinator for a Commercial, Industrial, or Institutional Construction organization
- Experience with Procore® an asset
- Experience with various types of construction contracts
- Excellent communication, interpersonal and organizational skills
- Analytical thinker with ability to interpret complex information and recommend innovative solutions
- The ability to read, understand and interpret technical drawings and specifications
- Proficient computer and data entry skills, Microsoft suite of applications
